Job description
The Student Development Coordinator works independently and is responsible for planning, coordinating, and implementing a broad range of activities that support Physician Assistant (PA) students, the preclinical curriculum, program operations, and accreditation-related initiatives. This position serves as a key administrative partner to faculty, staff, students, and external stakeholders to ensure the efficient delivery of educational and student support services.
Work Performed
- Coordinate and implement preclinical curriculum operations and educational activities by working closely with the Director of Preclinical Education, Administrative Manager, and faculty course coordinators to:
- Prepare budgets and manage expenses associated with curriculum delivery.
- Coordinate communications with instructors, guest lecturers, and facilitators.
- Serve as the primary liaison with educational vendors to procure instructional materials, textbooks, medical equipment, and laboratory supplies.
- Oversee and manage documentation related to invited lecturer and facilitator payments to ensure accuracy and timely processing.
- Manage Canvas course sites to support student access to course materials, assessments, and learning resources.
- Coordinate student small-group assignments and scheduling.
- Manage student transportation arrangements for instructional activities conducted across campus.
- Support classroom technology, audiovisual needs, and logistical setup for instructional activities.
- Oversee the collection, maintenance, and reporting of data related to instruction, student evaluation, and accreditation requirements.
- Serve as the primary coordinator of the preclinical academic calendar and student class schedule. Partner with the Director of Preclinical Education and course faculty to ensure efficient scheduling, minimize conflicts, and maintain alignment among courses, assessments, laboratories, program events, and other educational activities.
- Provide staff leadership through direct supervision of assigned administrative support personnel, student workers, and temporary employees. Responsibilities include assigning and reviewing work, providing training and coaching, monitoring performance, completing annual performance evaluations, and approving routine leave requests. Collaborate with the Administrative Manager regarding recruitment, hiring, employee relations, disciplinary actions, and other personnel matters affecting preclinical staff.
- Lead and support student services activities and program events, including:
- Student onboarding and orientation activities. Coordinating and ordering meals, refreshments, and event-related catering.
- Oversight of two student A/V liaisons in collaboration with the IT Analyst.
- Coordination and tracking of student compliance requirements, including Basic Life Support (BLS) certification, influenza vaccination compliance, drug screening, and related requirements.
- Support administrative and operational needs of the PA Program as assigned, including:
- Providing committee support as chair, member, or staff liaison, as appropriate.
- Preparing, maintaining, and updating program documentation, including the student handbook, accreditation reports, and faculty and staff onboarding materials.
- Proctoring examinations as needed.
- Providing front desk reception and telephone coverage.
- Supporting additional program initiatives, ceremonies, events, and special projects, including graduation, White Coat Ceremony, and other program-sponsored activities.
Reporting Relationships
The Administrative Manager serves as the primary supervisor for this position, with programmatic oversight provided by the Program Director. The Student Development Coordinator also works closely with the Director of Preclinical Education, Director of Clinical Medicine, program faculty, and administrative staff to support the successful operation of the Physician Assistant Program.
Qualifications
This position requires strong organizational, project management, and communication skills typically acquired through completion of a bachelor's degree or an equivalent combination of relevant education and experience. Candidates must have at least three years of experience planning, coordinating, and implementing complex programs, projects, or events.
Experience providing direct supervision is strongly preferred, including assigning and reviewing work, supporting employee development, coaching staff, and managing performance. Demonstrated proficiency with educational and administrative technology platforms is also strongly preferred, including Canvas, ExamSoft, SharePoint, Zoom, Microsoft Office applications, Qualtrics, and Box.
Work Schedule and Location Requirements
The standard work schedule for this position is Monday through Friday, 8:00 a.m. to 5:00 p.m. Due to the nature of the Duke Physician Assistant Program and academic calendar, occasional work outside of standard business hours, including earlier start times, may be required to support instructional activities, student programming, and other program-related needs. Periodic evening and weekend events may also be required and will generally be scheduled with advance notice.
This position is eligible for a hybrid work arrangement of up to two remote workdays per week, subject to operational needs, program schedules, and approval by leadership. Regular on-site presence is required to support student services, curriculum activities, meetings, and other program operations at the Duke Physician Assistant Program located at 800 S. Duke Street in Durham, North Carolina.
Anticipated Pay Range: Duke University provides an annual base salary range for this position as USD $45,661.00 to USD $69,707.00.
