SECTION I

Position Summary
The Student Clinician Coordinator is responsible for managing the registration process for clinical courses at the university's teaching clinic and external sites. This role includes coordinating student rotation assignments and drafting the clinic schedule in collaboration with the Associate Deans and Chairs.

Additionally, the coordinator notifies individual students about their progress in the program by updating and distributing summary reports. They also serve as an advisor regarding students' clinical progress.

SECTION II

Essential Responsibilities

  1. Direct the registration process for the university’s teaching clinic and off-site clinical training opportunities.  Coordinate students' rotation assignments, create drafts of clinic schedule, develop and maintain the final clinic schedule for use by clinic patient services manager.
  2. Coordinate the grading of student clinicians’ performance in the university’s teaching clinic and off-site clinical training opportunities. This involves validating that students have completed their quarterly rotation requirements and posting their grades. It also includes authorizing and posting any grade changes submitted by faculty members, auditing grading records for accuracy, and following up on missing or incorrect grades. Additionally, it requires overseeing and accurately recording the tabulations of student-patient interactions, clinical hours, and any other relevant hours (such as preceptor hours) for student clinicians in each program. This process ensures compliance with state requirements and the standards set by accreditation agencies or boards.
  3. Notify individual students of their progress through their program by updating and distributing summary reports.  Act in advisory capacity with students in relation to clinical progress.  Work with academic advisers and department chairs to gather and audit student information to determine eligibility prior to clinic entry. 
  4. Act in an advisory capacity regarding short and long-range planning in relation to number of rotations being offered in the university’s teaching clinic and off-site clinics, rotation locations, and other clinic administrative details, as appropriate.
  5. In conjunction with the Registrar, take a leadership role in determining efficiencies that can be realized through optimal software use and procedural optimizations.  Make recommendations for procedural changes and data definitions within the department. Assist in the evaluation and implementation of new software or software upgrades.

  • Support Registrar's office staff during registration and grading at peak times.

Qualifications

  • Must be familiar with traditional academic degree structures and must understand Bastyr's academic degree programs and academic policies.
  • Must have the ability to analyze and solve problems.
  • Must be familiar with academic administrative functions and procedures and must have the ability to process and maintain highly confidential information.
  • Must be familiar with the Family Education Rights and Privacy Act (FERPA) and rules with respect to the confidentiality of student records information, and with the Health Insurance Portability and Accountability Act (HIPAA) and related rules with respect to the university’s teaching clinic’s operation.
  • Must be familiar with the Campus Café software package and other Student Information System software packages utilized by the university.
  • Must have an expert-level understanding of data definitions and standards, as well as extensive knowledge of spreadsheets.
  • Must have the ability to learn and use complex computer-based systems.
  • Must have the ability to learn our homegrown electronic medical records, CATS
  • Must have demonstrated interpersonal communication skills both verbally and in written form (letters, reports, emails, etc.).

Education & Experience

  • Preferred two years  experience in an academic clinical setting where Registration activities (grading and scheduling) are the primary responsibility.
  • Two years of experience in a system supported environment where an understanding of how to use software was an integral part of job success
