About Operations Associate

The Operations Associate will be the face of the school to the community and the central hub to support the needs of all stakeholders who come to the school including parents, families, students, and staff. This position reports to the Director of Operations and will support the work of the Operations Manager. The ideal candidate will be able to manage the many tasks fluidly while maintaining a high level of professionalism and bring a cheerful spirit to the team. This position is ideal for someone with school experience and interest in growing professionally. We will provide support in developing your skill sets in data management and operations management.ย  This position requires a high degree of discretion and trust. You see how your work is connected to the mission and are happy to serve in this essential capacity.ย  The current focus of this role attendance and reception.

Qualifications

  • 2+ years schools experience required
  • Bachelor's Degree preferred
  • Strong written and verbal communication skills with many diverse stakeholders
  • Experience managing an office including reception and general administrative duties
  • Experience with managing school operations including implementing student information systems, ie. PowerSchool, organizing events, and managing communications
  • Demonstrated ability to perform the duties of the position

Operations Associate Duties and Responsibilities

Enrollment Management

  • Be the point person for all things student enrollment
  • Assist families through the complex enrollment process
  • Manage the backend of the student information system with precision
  • Build relationships with students and families to help foster good relationships which lead to future student applicationsย 

Office Management

  • Interface with parents and families who come to the building
  • Answer phones and questions about the school
  • Maintain the supplies for teachers and staff
  • Order supplies as needed
  • Manage any mail received or outgoing
  • Maintain a calendar of family meetings

Data Management

  • Maintain the attendance system (PowerSchool), including making attendance phone calls when needed
  • Maintain student records with a high level of fidelity
  • Maintain records of transactions as needed

Operations Management

  • Organize and collaborate with the leadership to produce regular events with a high level of efficiency
  • Assist the leadership with administrative tasks as needed
  • Keep and track systems and routines for the organization
  • Help develop the operations manual in collaboration with the Director of Finance and Operations
  • Assist staff in resolving issues that arise day to day by directing them to the right person
  • Escalate issues to senior staff and the leadership team when needed

Community Engagement

  • Fosters positive relationships with students
  • Develops regular communication protocols with parents
  • Delivers thoughtful guidance and support to students and families
  • Engages professionally and enthusiastically with new school initiatives
  • Contribute to extra-curricular activities during and/or after school
