Strategic Technology Sourcing & Order Operations Specialist

King Of Prussia, PA β€’ On-site

$75K - $85K/yr

Full-time

Posted 16 days ago

Key responsibilities

  • Source smartphones, tablets, laptops, accessories, networking products, peripherals, and related technology requested by Sales.

  • Create and validate Sales Orders and Purchase Orders, ensuring accuracy in SKUs, quantities, pricing, vendor, and other order details.

  • Identify recurring bottlenecks and improve workflows, templates, systems, and communication standards to enhance sourcing and order processes.

Job description

ROLE MISSION
Give the Sales team a near real time sourcing and order execution engine. This person finds products others struggle to find, returns competitive pricing and availability quickly, converts approved opportunities into accurate Sales Orders and Purchase Orders, and continuously improves the workflow.
THE OPPORTUNITY
This is not a passive procurement or administrative purchasing role. The right person enjoys the hunt. When a device is constrained, discontinued, backordered, unusually configured, or difficult to locate, their instinct is to start calling, texting, emailing, checking distribution, working relationships, and finding a solution.
The role is broader than traditional purchasing. We need someone who combines technology product knowledge, vendor relationships, creative sourcing, rapid quoting, order creation, operational accuracy, commercial judgment, and process improvement. The ideal candidate behaves more like an internal deal desk and sourcing operator than a transactional purchasing coordinator.
TOP 3 PRIORITIES
1. Rapid sourcing and quoting
β€’ Source standard, constrained, discontinued, allocation limited, and hard to find mobile devices and technology products.
β€’ Return actionable pricing and availability to Sales in less than one business hour whenever reasonably possible.
β€’ Provide clear options covering cost, availability, lead time, condition, warranty, freight, and credible alternatives.
β€’ Use both traditional and nontraditional sourcing channels while protecting supplier quality and risk.
2. Accurate order execution
β€’ Create Sales Orders and Purchase Orders accurately and quickly.
β€’ Validate SKUs, quantities, pricing, vendor, carrier compatibility, condition, warranty, availability, shipping requirements, customer requirements, sell price, margin, and supplier terms before release.
β€’ Track open sourcing requests and purchase commitments through completion.
β€’ Escalate issues before they impact Sales or the customer.
3. Near real time process improvement identification
β€’ Identify recurring bottlenecks across sourcing, quoting, order creation, vendor communication, and handoffs.
β€’ Improve templates, systems, workflows, automation opportunities, and communication standards.
β€’ Build stronger vendor relationships and develop new sourcing channels before they are urgently needed.
β€’ Use data to improve response time, order accuracy, pricing, supplier performance, and overall deal economics.
KEY RESPONSIBILITIES
β€’ Rapidly source smartphones, tablets, laptops, accessories, networking products, peripherals, and related technology requested by Sales.
β€’ Maintain and expand a strong network of OEMs, authorized distributors, wholesalers, resellers, brokers, and other reliable suppliers.
β€’ Proactively identify alternatives when the requested item is unavailable, constrained, or commercially unattractive.
β€’ Negotiate with vendors to improve cost, availability, payment terms, freight, and overall deal economics.
β€’ Partner closely with Sales, Operations, Finance, Warehouse, and leadership to remove friction from quote to order workflows.
β€’ Protect order accuracy, margin, customer commitments, and supplier quality while operating with urgency.
Requirements
REQUIRED QUALIFICATIONS
β€’ Demonstrated experience in technology sourcing, procurement, purchasing, distribution, device resale, mobility, IT hardware, or a closely related environment.
β€’ Strong working knowledge of smartphones, tablets, laptops, accessories, and common enterprise technology products.
β€’ Existing relationships within the mobile device, IT hardware, distribution, wholesale, or technology reseller ecosystem.
β€’ Experience creating and managing Purchase Orders. Sales Order experience is strongly preferred.
β€’ Strong understanding of SKU level product details and the ability to distinguish model, configuration, carrier, condition, warranty, and compatibility differences.
β€’ Strong commercial instincts and comfort negotiating pricing and terms.
β€’ Excellent written and verbal communication with the ability to give Sales fast, concise, decision ready answers.
β€’ Exceptional attention to detail without sacrificing speed.
β€’ High urgency, ownership, persistence, and follow through.
β€’ Ability to work on site in King of Prussia and live within approximately 30 miles of the office.
PREFERRED QUALIFICATIONS
β€’ Experience sourcing Apple, Samsung, Google, NUU, Motorola, Lenovo, Dell, HP, Microsoft, Cradlepoint, Peplink, Teltonika, InHand, or similar products.
β€’ Experience with national technology distributors and secondary market device suppliers.
β€’ Experience in a technology VAR, mobility reseller, wireless carrier, distributor, device lifecycle company, electronics wholesaler, or IT hardware reseller.
β€’ Experience improving procurement, quote desk, order management, ERP, or workflow processes.
β€’ Experience supporting a fast moving sales organization.
SUCCESS MEASURES
β€’ Most actionable sourcing requests receive a useful response within one business hour.
β€’ Sales Orders and Purchase Orders are created accurately with minimal rework.
β€’ The supplier network becomes broader, stronger, and more responsive over time.
β€’ Quote and order cycle times consistently improve.
β€’ Gross margin is protected or improved through better sourcing and negotiation.
β€’ The person anticipates problems and provides solutions instead of simply reporting obstacles.
β€’ Sales sees this person as the go to resource for difficult sourcing requirements.
