Job Summary:

We are seeking a proactive, highly organized Executive Assistant to provide administrative support to three senior leaders. This role will manage a variety of day-to-day administrative needs while helping leaders stay organized, prepared, and focused on key priorities. The Executive Assistant will also support key meetings, events, and broader team activities, working closely with leaders and cross-functional partners across the organization. The ideal candidate is detail-oriented, adaptable, and comfortable managing multiple priorities in a fast-paced environment.

Responsibilities include but are not limited to:

  • Calendar Management: Manage complex calendars for 2 senior leaders in Strategy & Operations and Products, including scheduling meetings and appointments, coordinating participants, resolving conflicts, and adjusting to changing priorities and schedules.
  • Travel Support: Coordinate domestic and international travel arrangements, including multi-segment trips, air, car, rail, hotel accommodations, and other travel needs.
  • Expense Reporting: Prepare and submit expense reports for supported leaders, ensuring accuracy and compliance with company policies.
  • Meeting & Event Coordination: Support the planning and execution of key Innovation meetings and events, including quarterly All-Hands and in-person Innovation Leadership Team meetings, coordinating logistics, scheduling, materials, and other event needs.
  • Innovation SharePoint Administration: Manage ongoing administration of the Innovation SharePoint site, including quarterly reviews and coordinating, tracking, and implementing site updates.
  • Team & Business Support: Provide ad hoc administrative and coordination support for Corporate Development leadership, as well as broader team activities, office needs, and evolving business priorities.
  • Process invoices and purchase orders (POs), including routing for approval and tracking to completion.
  • Provide backup administrative support for the Indianapolis office, including vacation/absence coverage.

Required Skills and Experience:

  • Minimum of 5 years of experience as an Executive Assistant supporting senior leaders.
  • Strong ownership mindset - Anticipates executive needs and drives outcomes end-to-end through proactive planning, problem-solving, and disciplined follow-up to ensure on-time completion.
  • Experience supporting multiple senior leaders simultaneously by adapting seamlessly to diverse working styles, while balancing priorities and managing competing requests effectively.
  • Strong organizational and time-management skills.
  • Ability to manage ambiguity, competing priorities, and changing schedules.
  • Detail-oriented and proactive
  • Strong communication and interpersonal skills.
  • Ability to interact effectively with individuals at all levels of the organization.
  • Ability to handle challenging situations with professionalism.
  • Strong judgment and ability to prioritize requests based on urgency and business needs.
  • Ability to handle confidential information with discretion and integrity.
  • Collaborative team player with a willingness to support leaders, colleagues, and broader team needs.
  • Proficiency in Microsoft Office applications, including Outlook, Excel, Word, and PowerPoint.
  • College degree preferred, not required.

Work Location: This position is on-site at our Carmel, Indiana office.ย
