Office Specialist (part-time, 17.5 hours/week)
Do you thrive in a role where no two days look the same? The Liberal Arts Advisement and Career Center (LAAC) at BYU is looking for an organized, people-oriented Office Specialist to help students access experiential learning opportunities. In this part-time role, you will be at the heart of funding coordination; reviewing and processing applications for study abroad, internships, undergraduate research, and more. As well as help keep the office running smoothly. Your work directly supports BYU's mission to develop students of faith, intellect, and character by connecting them with meaningful opportunities beyond the classroom. If you enjoy working with students and faculty, managing multiple projects, and making an impact through careful and compassionate administration, we would love to hear from you.
What you'll do in this position:
  • Review and process student applications for Study Abroad, internships, APE, LISR funding, HUM Grants, and College Scholarships - verifying records, determining eligibility, and issuing award letters
  • Serve as a resource for students and faculty with questions about funding opportunities and application processes
  • Coordinate with Study Abroad Program Directors, internship faculty coordinators, and the Humanities College Internship Coordinator to confirm program costs and maintain accurate records
  • Support the Humanities Experiential Learning Journal by helping gather articles, coordinating the review committee process, and communicating decisions to student contributors
  • Manage office calendars, staff meeting agendas, Listserv, key distribution and audits, and cleaning and maintenance schedules
  • Assist with financial record-keeping and expense reporting in collaboration with the Office Manager
  • Support planning and execution of LAAC events, convocations, and office activities
  • Help develop social media content and outreach materials in collaboration with the Office Manager and student employees
  • Train staff on funding policies, emergency procedures, and office operations as needed

What qualifies you for this role:
Required
  • A firm commitment to the mission of BYU
  • 2 years of related office work experience and/or currently working toward a bachelor's degree
  • Professional demeanor and strong interpersonal skills
  • Ability to coordinate and communicate clearly with students, teammates, faculty, and other stakeholders
  • Ability to handle difficult situations with professionalism and patience
  • Proficiency in MS Office Suite (Word, Excel, Outlook, Publisher) and ability to learn new systems quickly
  • Strong attention to detail and ability to manage multiple tasks simultaneously
  • Experience with general office equipment (copier, scanner, shredder, etc.)

Preferred
  • 3-4 years of office experience
  • Experience in program coordination, project management, or grants/funding administration
  • Knowledge of higher education experiential learning programs (study abroad, internships, undergraduate research)
  • Familiarity with financial record-keeping or expense reporting systems
  • Familiarity with social media strategy and graphic design; experience with tools such as Canva
  • Experience or proficiency in Workday
  • Prior knowledge of BYU policies and procedures
  • Familiarity with BYU employment and hiring procedures
  • Demonstrated ability to act independently and exercise sound professional judgment
  • Any required licenses, certifications, etc.
