Summary The Program Manager plays a pivotal role in operationalizing grant-funded educational initiatives at Bowling Green State University. This position oversees day-to-day program administration, coordinates professional development (PD) events, manages participant incentives and grant budgeting, and maintains strong partnerships with K-12 school districts and community organizations. Essential Functions Budgeting, Financial Coordination & Compliance Coordinate the procurement of program materials, equipment, and workshop supplies in adherence to university procurement policies.

Process participant stipends, travel reimbursements, and honorariums through appropriate BGSU ?nancial systems. Track line-item expenditures and reconcile internal ?nancial records with BGSU Post-Award / Grants Accounting monthly to ensure grant compliance. Assist in generating budget reconciliation reports and gathering ?nancial documentation for grant funders and auditors.

Event Logistics & Media Design Plan and execute end-to-end logistics for on- and off-campus PD workshops, meetings, and conferences (room reservations, AV, catering, participant materials). Schedule and support all staff and participant meetings; record, distribute, and archive detailed meeting minutes and follow-up communications. Design professional print and digital materials using tools like Canva to promote program events and research ?ndings.

Maintain active communication channels, including the dedicated program email, social media pages, and BGSU website content. School Partnerships & Educator Outreach Lead participant recruitment efforts for PD sessions and related research studies across target K-12 school districts and partner organizations. Serve as a responsive main point of contact for participating educators, district leaders, non-pro?t partners, and BGSU offices.

Maintain accurate participant database records to ensure compliance, track attendance, and support program evaluation efforts. Evaluation & Research Support Collaborate with the program evaluation team to distribute survey instruments, collect participant data, and maintain organized data repositories. Assist in drafting annual impact reports, compliance summaries, and funding proposals/grant applications.

Other duties as assigned Minimum Qualifications The following Degree is required: Bachelor's degree The following Experience is required: 2 years of experience in program administration, event planning, or grant management (experience in higher education or K-12 settings preferred). Additional Information Knowledge, Skills, Abilities Technical Skills: Pro?ciency with design tools (e.g., Canva). Familiarity with survey and data tools (e.g., Qualtrics, Excel, Google Workspace)

Experience with university management/?nancial systems (e.g., Chrome River, Canvas, or similar systems) is a plus Core Competencies: Excellent written and verbal communication, strong organizational skills, high attention to detail, and a collaborative mindset.
