Job Description

The Campus Event Coordinator organizes and pulls together all logistical planning for events occurring at Minneapolis College, serving as a point of contact for internal and external customers from initial inquiry through event execution. This position provides second level administrative responsibilities for contracted services to include food service to include the accurate processing of facility use agreements and account invoicing and maintains accurate records of usage and rental revenues. This position also facilitates reservations using the event management system (EMS) software and is the designated, on-site coordinator of evening and weekend events.

Responsibilities include, but are not limited to:

  • Provide coordination, guidance, and direction to other team members regarding daily set-ups and tasks.Include ITS leadership/technology support, Facilities Building Maintenance Supervisor, Building Services Supervisor, and General Maintenance Lead worker.

  • Coordinate schedule for daily set up and tasks. May include coordination of General Maintenance workers, trades staff and technology support. May include coordination with food service vendor or other outside vendors.

  • Communicate schedule for daily set up and tasks. May include coordination of General Maintenance workers, trades staff and technology support. May include coordination with food service vendor or other outside vendors.

  • Ensure schedules and event details are clearly documented and distributed accordingly.

  • Coordinate after-hours and weekend events by planning and communicating staffing needs in advance to ensure appropriate setup, event support, take down, and cleanup.

  • Act as liaison to college stakeholders for campus sponsored events and ensure they are conducted at a high level and within the parameters of system/college policy.

Salary Range:

$24.40 - $35.30 hourly / $50,947 - $73,706 annually

Minimum Qualifications

  • Demonstrates an effort to improve cultural competence and actively takes steps to include diversity training in professional development.

  • Knowledge of facilities procedures related to the planning, preparation, implementation, and evaluation of a wide variety of college events.

  • Knowledge of budgeting and financial planning principles sufficient to ensure event compliance and manage budgetary requirements effectively.

  • Working knowledge of rules, laws, regulations, agreements, and contracts in event planning sufficient to ensure compliance with applicable terms and conditions.

  • The position requires excellent customer service skills, a demonstrated ability to work effectively with diverse groups and possess strong organizational skills.

  • Knowledge of collective bargaining agreements sufficient to ensure compliance with contractual and labor agreements.

Preferred Qualification

  • Project or event management work experience greater than one year.

  • Former and/or current employees must be in good standing with Minneapolis College.

  • In accordance with the Minnesota State Vehicle Fleet Safety Program, employees driving on college/university business who use a rental or state vehicle shall be required to conform to Minnesota State's vehicle use criteria and consent to a Motor Vehicle Records check.
