Job description

Centurion is seeking a detail-oriented and proactive Operations Assistant to provide administrative and operational support across a variety of business functions. This individual will help keep company priorities organized, tasks moving, and routine business activities on track.


The ideal candidate is highly organized, responsive, comfortable managing multiple priorities, and able to work independently with professionalism, sound judgment, and strong follow-through.


Position Details

  • Employment Status: Full-Time
  • Schedule: Monday–Friday, 8:30 AM–4:00 PM
  • Hours: 35 hours per week
  • Pay: $15–$18 per hour, based on experience
  • Travel: 0–5%


Responsibilities

  • Manage and maintain the company calendar, including scheduling meetings, interviews, and other appointments.
  • Send calendar invitations, coordinate meeting logistics, and track scheduling-related follow-up.
  • Answer and route incoming calls and receive, sort, and distribute mail and packages.
  • Coordinate staff travel arrangements as needed.
  • Prepare meeting agendas, record minutes, and distribute notes and action items.
  • Draft, format, and organize correspondence, reports, presentations, and other business documents.
  • Maintain company SharePoint sites and assist with document organization and file management.
  • Support project activities, including project tracking, administrative follow-up, and close-out tasks.
  • Reconcile expense reports and maintain financial tracking logs.
  • Track invoice status, including invoices sent, paid, and pending.
  • Assist with new employee onboarding, including preparation of materials and collection of required documentation.
  • Coordinate with vendors related to office maintenance, supplies, and services.
  • Maintain office supply inventory and place orders as needed.
  • Conduct basic business research and compile findings into concise summaries.
  • Assist with tracking business development opportunities and related administrative activities.
  • Support planning and logistics for internal corporate events.
  • Assist with updates to company website and social media content as needed.
  • Track outstanding administrative items and follow up with internal and external parties to help ensure deadlines are met.
  • Perform other administrative and operational duties as assigned.


Qualifications

  • Associate's or bachelor's degree preferred; equivalent administrative or operations experience will be considered.
  • 1–2 years of administrative, operations, executive support, or similar experience preferred.
  • Experience supporting executives or senior management is a plus.
  • Strong proficiency in Microsoft Office 365, particularly Outlook, Word, Excel, PowerPoint, and SharePoint.
  • Familiarity with updating website and social media content is a plus.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management skills.
  • Outstanding attention to detail and accuracy.
  • Ability to manage multiple priorities and meet deadlines in a dynamic environment.
  • Ability to anticipate needs, identify issues, and follow through on assignments with minimal supervision.
  • Ability to maintain confidentiality and exercise sound judgment.
