Our services range from full-service event production, staging, and equipment rental to live presentation and transportation logistics, making us a trusted partner for exceptional events in Arizona. The Event Lead supports the planning and execution of events with a focus on event day operations, client coordination, and on-site logistics. This role serves as a key point of contact for internal teams, clients, vendors, and event partners, ensuring events are executed efficiently and to Insignia's standards. The ideal candidate is customer-focused, highly organized, and able to lead in fast-paced environments while delivering exceptional event experiences. This individual demonstrates a commitment to delivering high-quality work, communicating effectively, and working positively with others in a collaborative, team-oriented environment.
Primary Responsibilities:
  • Provide exceptional customer service while maintaining strong professional relationships with clients, vendors, and event partners
  • Support end-to-end event execution, including setup, event operations, and breakdown
  • Lead event setup and strike in coordination with the Event Operations team
  • Manage venue load-ins and loadouts while maintaining safety standards
  • Prepare and maintain event data, timelines, and operational documents while partnering with parking, operations, and production teams to execute event needs
  • Coordinate event details before and after events, including vendor communications, city officials, and internal departments
  • Prepare and distribute event communications and confirmation details to internal teams
  • Coordinate permits, inspections, and compliance requirements, including Fire Marshal approvals, city permits, and Extension of Premise documentation
  • Serve as the primary point of contact during event breakdown, including event packing, equipment inventory, and communication with sponsors and partners
  • Assist with planning and preparation for upcoming events
  • Attend staffing meetings, pre-event meetings, client meetings, walkthroughs, and event planning sessions
  • Support event inquiries and assist with gathering information for the Events Department
  • Compile event expenses and supporting documentation for leadership review
  • Assist the Manager, Events with on-site logistics and event execution
  • Support team success by stepping in where needed and maintaining a collaborative, team-first approach to execution
  • Other duties as assigned

Qualifications/Requirements:
  • At least one (1) year of customer service experience required
  • Previous event, event coordination, management, or team lead experience preferred
  • Strong interpersonal, verbal, and written communication skills
  • Strong organizational skills with attention to detail
  • Ability to perform effectively in fast-paced, high-pressure environments
  • Customer-service mindset with a focus on delivering high-quality experiences
  • Ability to work independently and within a team environment
  • A team player who cares about the team's success and contributes to a positive team environment

Physical Requirements & Work Environment
  • Must have a valid driver's license
  • Ability to stand and walk for extended periods and lift up to 50 lbs
  • Ability to work indoors and outdoors in varying weather conditions
  • Flexible schedule, including evenings, weekends, and holidays
  • Must be available to work all Arizona Cardinals home games during the NFL 2026-2027 season
  • Availability to work up to four events per month
