Image Engineering was founded as a company that pushes boundaries, develops new ideas through design and fabrication, and is a leader in the visual display and special effects industry. We are comprised of a team of artists; engineers; event producers; fabricators; and creative thinkers. 


We have worked all over the United States completing thousands of projects in the field of creative multimedia shows for clients such as Paul McCartney; the Trans-Siberian Orchestra; the Rolling Stones; Lady Gaga; American Idol; America's Got Talent; and multiple professional sports franchises in the NFL, NBA, and NHL. We have also created temporary and permanent interactive installations for world-class venues, including the Crypto.com Arena in Los Angeles and The John F. Kennedy Center for the Performing Arts in Washington, DC. 


Our strength lies in the broad range of techniques and custom special effects solutions we use to create first-class spectaculars, including laser effects, video projection and mapping; pyrotechnics; architectural lighting installs; custom constructed sets; and bespoke engineered special effect solutions, for live events and permanent applications. 


ROLE SUMMARY: 


We are seeking a highly organized and detail-oriented Compliance & Operations Coordinator to support regulatory compliance, safety programs, and operational processes across a fast-paced, multi-state organization. This role is ideal for someone who thrives in a dynamic environment, enjoys solving complex problems, and takes ownership of ensuring that systems, documentation, and processes remain accurate, compliant, and audit-ready at all times.


This position plays a critical role in maintaining licensing, safety, and transportation compliance, while also supporting live event operations where priorities can shift quickly and decisions must be made in real time.


 KEY RESPONSIBILITIES


Regulatory Compliance & Safety

  • Own all licensing and regulatory compliance activities, including filings, renewals, and maintaining complete, audit-ready documentation across jurisdictions 
  • Serve as a primary point of contact for regulatory agencies and Authorities Having Jurisdiction (AHJs), ensuring clear communication and timely responses 
  • Maintain and enforce safety compliance systems, including SDS management, safety inspections, and adherence to workplace safety standards 
  • Analyze compliance, safety, and operational data to identify risks, trends, and gaps 
  • Support incident response by documenting findings, determining root causes, and driving corrective actions 

Fleet & Transportation Compliance

  • Manage transportation and fleet compliance, including vehicle records, inspections, and driver log auditing 
  • Ensure full adherence to DOT and applicable state regulations 

Process Improvement & Systems

  • Develop, implement, and continuously improve SOPs, policies, and compliance processes 
  • Ensure procedures are practical, clearly communicated, and consistently followed 
  • Improve internal systems and workflows (including Odoo) to enhance visibility, tracking accuracy, and operational efficiency 

Training & Workforce Compliance

  • Support development and maintenance of compliance and safety training materials 
  • Coordinate, schedule, and track employee training across departments 
  • Maintain and audit training records for accuracy, completeness, and audit readiness 
  • Identify training gaps and implement targeted improvements 

Operational Support

  • Support live event operations, where priorities may shift rapidly and require real-time compliance decisions 
  • Provide logistical support as needed, including vehicle coordination and document delivery 
  • Perform other related duties as assigned

Requirements

  • Strong understanding of regulatory compliance (DOT, OSHA, or similar) with the ability to apply requirements in real-world scenarios 
  • Advanced analytical thinking skills with the ability to assess incomplete or evolving information and determine appropriate next steps 
  • Ability to manage multiple priorities and consistently meet deadlines in a fast-paced environment 
  • Ability to rapidly reprioritize work based on operational needs or regulatory deadlines 
  • Exceptional attention to detail, especially with compliance documentation and records 
  • Strong writing skills, including clear, concise emails and well-structured reports 
  • Ability to translate complex regulatory requirements into actionable guidance 
  • Strong organizational skills with the ability to maintain audit-ready systems 
  • Effective verbal communication skills with both internal teams and external agencies 
  • Proficiency in Microsoft Office (Word, Excel) 
  • Proficiency in Adobe Acrobat and Illustrator 
  • Ability to work independently, take ownership, and follow through without constant oversight 
  • Practical, execution-focused problem-solving mindset 

EDUCATION & EXPERIENCE

  • High School Diploma or equivalent required 
  • Additional education in Business Administration, Occupational Safety, Human Resources, Legal Studies, Public Administration, or a related field preferred 
  • Experience working with regulatory frameworks such as DOT, OSHA, or similar governing bodies 

PREFERRED EXPERIENCE

  • 2-4 years of experience in compliance, regulatory coordination, safety administration, fleet compliance, or related operational roles 
  • Experience working with multi-state licensing and permitting 
  • Exposure to DOT, OSHA, ATF, or similar regulatory frameworks strongly preferred 
  • Experience with database management systems
