Job description

Job Title: Inside Parts Sales RepresentativeJob Description
The Inside Parts Sales Representative responds to customer inquiries across phone, email, online channels, and in person, providing timely and professional support for parts, products, services, order status, and customer concerns. This role assists customers with replacement and spare parts for both existing and legacy equipment, prepares accurate parts quotes, and follows up on opportunities to support sales targets and customer satisfaction goals. The position requires effective use of ERP, CRM, and order-management systems to manage quotes and orders, along with strong communication and problem-solving skills to resolve product and service issues and maintain strong customer relationships.
Responsibilities
  • Respond to customer inquiries by phone, email, online channels, and in person, delivering timely, professional support for parts, products, services, order status, and customer concerns.
  • Assist customers with identifying and ordering replacement parts, spare parts, and new spare-parts orders for existing and legacy equipment.
  • Collect, enter, confirm, and update orders for parts, products, and services in ERP, CRM, and other order-management systems, ensuring accuracy and completeness.
  • Research customer equipment history, drawings, manuals, historical files, and prior orders to identify correct parts and support accurate quoting.
  • Troubleshoot product, parts, and service issues and help resolve customer problems, escalating technical matters to engineering, service, manufacturing, or other specialists when needed.
  • Prepare detailed parts quotes and follow up on open opportunities to support agreed sales targets, quote conversion rates, and customer satisfaction objectives.
  • Maintain accurate and up-to-date customer records, including account notes, parts history, problems, complaints, resolutions, and follow-up commitments.
  • Develop and maintain a strong working knowledge of products, aftermarket parts, service offerings, and evolving equipment applications.
  • Coordinate internally with sales, service, engineering, purchasing, warehouse, and manufacturing teams to improve responsiveness and delivery reliability.
  • Promote service, spare-parts, rebuild, inspection, and lifecycle support capabilities when appropriate to customer needs and applications.
  • Handle customer complaints professionally, ensuring appropriate actions are taken to resolve issues and protect long-term customer relationships.
  • Perform other related duties as assigned to support the overall sales and customer service function.
Essential Skills
  • Strong organizational skills with the ability to prioritize multiple inquiries, quotes, and follow-up commitments effectively.
  • High attention to detail and a deadline-oriented work style, with consistent follow-through on commitments.
  • Proficient computer skills, including use of Microsoft Office and the ability to update and maintain customer, quote, and order records.
  • Ability to learn and work within ERP, CRM, inventory, database, and ordering systems; familiarity with ERP platforms is advantageous.
  • Mechanical aptitude and willingness to learn equipment operation, bakery applications, and parts identification.
  • Ability to read and interpret blueprints, mechanical drawings, CAD drawings, manuals, and legacy technical documentation.
  • Ability to research historical documents and files manually when information is not readily available in current systems.
  • Professional, positive demeanor with strong written and verbal communication skills.
  • Fluency in English, with the ability to communicate clearly with customers and internal teams.
  • High school diploma or equivalent.
  • Previous experience in customer service, sales, parts sales, aftermarket support, inside sales, or a related customer-facing role, as required or preferred based on business needs.
Additional Skills & Qualifications
  • Experience in mechanical, manufacturing, industrial equipment, food-processing, or bakery-equipment environments.
  • Experience taking orders and working with customers by phone and email.
  • Ability to speak and write Spanish is a plus.
  • Familiarity with ERP platforms and related business systems.
  • Comfort working with technical documentation and legacy records in both digital and physical formats.
Work Environment
This role operates primarily in a professional office environment and routinely uses standard office equipment such as computers, phones, and office software. The position may require regular coordination with shop, warehouse, service, engineering, or manufacturing personnel to support customer needs and ensure reliable delivery of parts and services. The work setting emphasizes collaboration, responsiveness, and accuracy in handling customer orders and technical information.

Pay and Benefits
The pay range for this position is $70000.00 - $70000.00/yr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
