JOB DESCRIPTION

EXECUTIVE ADMINISTRATIVE ASSISTANT -Bilingual In Spanish

Banking/Financial Services

Location: New York, NY (270 Park Avenue)
Pay Rate: $43.57/hr W2
Duration: 5 Months
Schedule: Monday – Friday | 40 Hours/Week
Work Arrangement: 100% Onsite (No Remote/Hybrid Option)

Position Overview:
We are seeking an experienced Executive Administrative Assistant to provide high-level support in a fast-paced corporate environment. The ideal candidate will be highly organized, detail-oriented, proactive, and fluent in Spanish. This role requires extensive calendar management, travel coordination, expense processing, and executive support.

Key Responsibilities:

  • Manage complex executive calendars, scheduling meetings and resolving conflicts proactively
  • Screen incoming calls and correspondence, exercising sound judgment and discretion
  • Coordinate internal and external meetings, including logistics and scheduling
  • Arrange complex domestic and international travel, including visa procurement and itinerary management
  • Organize internal and external events, including catering, transportation, and meeting logistics
  • Process invoices and expense reports through Concur while ensuring compliance with company policies
  • Support employee onboarding and offboarding, including equipment requests and system access coordination
  • Draft and distribute professional emails and communications to stakeholders at all levels
  • Maintain organizational charts, executive biographies, and departmental documentation
  • Anticipate needs, manage priorities independently, and communicate potential issues proactively
  • Assist with preparing presentations, spreadsheets, reports, printing, and binding materials for executive and client meetings
  • Welcome and assist visitors and clients as needed

Required Qualifications:

  • 6+ years of Executive Administrative Assistant experience supporting senior leaders
  • Fluent Spanish language skills (Required)
  • Strong calendar management and meeting coordination experience
  • Experience arranging complex international travel and obtaining visas
  • Proficiency with Concur expense management
  • Advanced Microsoft Office skills, including Outlook, Excel, PowerPoint, and Word
  • Excellent organizational skills with strong attention to detail
  • Professional communication and interpersonal skills
  • Ability to work onsite five days per week

Preferred Qualifications:

  • Experience supporting executives in large corporate environments
  • Strong client-facing experience
  • Ability to manage multiple priorities with minimal supervision
