Job Summary: MI Technical Solutions is seeking an experienced and organized individual responsible for providing essential administrative support to the HR department to include documenting staff changes, staff communications, recruitment, onboarding, orientation, record maintenance, clerical support for all employees, and aiding in ensuring smooth HR operations.

Responsibilities:

  • Maintain the integrity and confidentiality of human resource files and records.
  • Perform administrative duties, such as maintaining employee database and sorting emails for the HR department.
  • Maintain proper records of employee attendance and leaves.
  • Assist HR Director in policy formulation, hiring, and salary administration.
  • Submit online job postings, shortlist candidates, and schedule interviews.
  • Coordinate and conduct onboarding, orientation, and training sessions for new employees.
  • Ensure smooth communication with employees and timely resolution to their inquiries.
  • Maintains accurate and up-to-date human resource files, records, and documentation.
  • Answers frequently asked questions from applicants and employees related to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Assists with planning and execution of special events such as benefits enrollment, management meetings, employee recognition events, holiday parties, companywide events, and retirement celebrations.
  • Social media postings.
  • Performs other duties as assigned.

Requirements:

  • Strong verbal and written communication to interact with employees, managers, and external candidates.
  • Ability to manage multiple tasks, maintain accurate records, and prioritize responsibilities effectively with a high attention to detail.
  • Excellent interpersonal skills with the ability to manage sensitive employee information with discretion and maintain compliance with privacy regulations.
  • Strong organizational and follow up skills.
  • Exposure to labor law, employment equity regulations, and payroll practices.
  • Full understanding of HR functions and best practices.
  • Familiarity with HR software, databases, and office tools to support HR operations efficiently.
  • Proficient with Microsoft Office Suite or related software.
  • Graphic Design capabilities strongly preferred (i.e. Canva, Adobe Creative Suite, etc.).
  • Associate degree in related field recommended.
  • 2 years of experience as an HR assistant preferred.
  • Prior military/navy experience and/or administrative or HR support experience is preferred
  • Familiarity with recruitment, payroll, and benefits processes is advantageous
