Job Description

Join Levy Restaurants at Soldier Field as a Staffing Scheduler for Concessions, where you’ll play a critical role in managing workforce planning and scheduling for concessions operations during Chicago Bears games, Chicago Fire matches, concerts, and other high-profile events.

Key Responsibilities:

Scheduling and Workforce Planning:

    • Create and manage event-based schedules for concessions team members, ensuring appropriate staffing levels to meet operational demands.
    • Collaborate with concessions supervisors and managers to forecast staffing needs based on expected attendance and event-specific requirements.
    • Create a weekly daily work schedule for team members.
    • Address call-offs and last-minute schedule changes, reallocating team members or arranging replacements to maintain seamless operations.
    • Communicate staffing changes to supervisors, and management.

Communication and Coordination:

    • Communicate schedules, shift updates, and event expectations to team members clearly and promptly.
    • Serve as a point of contact for team members regarding scheduling inquiries, resolving conflicts and addressing concerns professionally.
    • Work closely with the human resources team to onboard and schedule new hires efficiently.

Attendance and Compliance Management:

    • Track team member attendance, ensuring adherence to schedules and addressing tardiness or no-shows in coordination with supervisors.
    • Maintain an accurate roster of Concessions team members following company procedures and policies.
    • Work closely with Concessions management, and HR to avoid scheduling employees related to suspension or termination.
    • Maintain accurate records of hours worked, team member availability, and certifications such as ServSafe Food Handling Certification, ServSafe Alcohol Certification, and Illinois BASSET Liquor License.
    • Ensure all scheduling practices comply with accounts CBA, labor laws, health and safety standards, and company policies.

Problem-Solving and Event Support:

    • Act as the primary point of contact for scheduling adjustments and staffing-related challenges during events.
    • Assist with team member check-ins, verifying attendance and distributing credentials or materials as needed.
    • Provide on-site support to ensure team members are deployed effectively and operational needs are met.

Administrative Duties:

    • Prepare staffing reports, analyzing scheduling trends and identifying opportunities for improvement.
    • Update and maintain scheduling systems with accurate and current information.
    • Support payroll processes by verifying timesheets and ensuring proper documentation of hours worked.
    • Assist with other administrative duties.

Collaboration and Communication:

    • Work closely with concessions supervisors to ensure schedules align with service goals and guest satisfaction.
    • Communicate with team members to provide updates on upcoming shifts, training sessions, or event details.

Other Duties:

    • Performs other duties as assigned to support staffing and operational success.
