The Role

As our Office Administrator / Customer Service Representative, you're the backbone of our front office and the first voice many of our customers hear. You'll keep the day-to-day running smoothly: managing the schedule, handling customer calls and confirmations, keeping our records clean, and supporting the sales and operations teams. This is a relationship-driven role for someone organized, personable, and ready to wear a few hats in a fast-growing company.

What You'll Do

  • Run point on daily office operations and keep the front office organized and welcoming
  • Answer inbound calls and emails, field customer questions, and direct inquiries to the right person
  • Make customer confirmation and reminder calls to keep appointments on track and reduce no-shows
  • Schedule and coordinate appointments, keeping the consultants' and technicians' calendars full and accurate
  • Set qualified appointments from new leads and follow up with prospects to re-engage interest
  • Maintain clean, up-to-date records in our CRM
  • Handle general administrative tasks: filing, data entry, document prep, and basic office coordination
  • Collaborate with the sales and operations teams to keep the pipeline and the schedule moving

What We're Looking For

  • Strong phone presence and clear, friendly communication
  • Highly organized and detail-oriented, comfortable juggling multiple tasks and a busy schedule
  • Self-motivated with a strong work ethic and a proactive, take-ownership attitude
  • Comfortable with basic computer tools, email, and CRM software (training provided)
  • Prior office administration, scheduling, or customer-service experience preferred
  • Must be 18 or older
