Job description

We are seeking a detail-oriented, proactive Office Administrator to keep the office operations running smoothly, ensure regulatory and vendor compliance, and support cross-functional teams. This role manages deadlines, renewals, office logistics, and light HR coordination.

Key responsibilities

  • Track vehicle registration renewals
  • File Secretary of State annual reports
  • Manage Registered Agent renewals
  • Oversee software license renewals
  • Maintain office deadline/calendar management
  • Support ongoing state sales tax registrations
  • Create new customer records in ERP
  • Order and manage office supplies
  • Coordinate with office vendors
  • Partner with HR on office events
  • Manage fuel software administration
  • Coordinate office maintenance and service visits
  • Oversee shipping/mailing and PO box renewals (including other regions)
  • Manage asset allocation (computers, hardware, peripherals)
  • Track resale certification expirations
  • Maintain customer sales tax exemption documentation
  • Track and collect vendor insurance/COIs
  • Schedule meetings (e.g., monthly corporate meetings)
  • Research and evaluate new platforms/programs
  • Perform related duties as business needs evolve

Qualifications

  • Minimum 2+ years in office administration, operations, or compliance support
  • Strong organizational and deadline management skills
  • Proficient with Microsoft 365/Google Workspace and basic ERP/CRM data entry
  • Familiarity with registrations, licenses, and corporate compliance a plus

Preferred
