Position Summary
Orders/maintains inventory of general office & kitchen supplies. Serves as the receptionist (greets public and answers and transfers calls), fields inquiries from public and directs as appropriate. Monitors office entry, monitors shipping/receiving, coordinates distribution of mail, performs scanning and indexing functions. Coordinates back-up assistance for front desk as needed, cross-trains and provides clerical support as needed.
Required Qualifications
High school diploma or GED.
Two years of qualifying experience or a combination of education and experience that equates to two years.
Experience with Microsoft Word.
Customer service experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Preferred Qualifications
Knowledge of specific software programs, mainframe/systems skills may be desired by the hiring department. (i.e. Excel, Access, SAP)
Duties & Responsibilities
Orders/maintains inventory of general office & kitchen supplies. Serves as receptionist (greets public and answers/transfers calls). Fields inquiries from public and directs as appropriate. Maintains kitchen, conference rooms and reception area. Arranges guest parking. Monitors office entry. Monitors shipping/receiving. Coordinates distribution of mail. Performs scanning and indexing functions. Maintains file room. Coordinates back-up assistance for front desk as needed. Cross-trains as needed. Provides clerical support as needed. Performs scheduling for PA employees and conference room. Prepares site visitation log and travel vouchers for PA employees. Assist all Center units with projects as needed. Maintain engagement emails. Monitor office email inbox and incoming faxes. Prepare monthly copier analysis. Prepare purchase requests and process purchases with CMU business card. Other duties as assigned.
