Job description

We are searching for a Project Administrator to support project teams from job start through close-out for a growing, Las Vegas-based commercial subcontractor. This is a full-time, in-office position paying $67,500 to $72,500 depending on experience. The role offers a comprehensive benefits package, including 100% company-paid medical, dental, and vision coverage; a $50,000 company-paid life insurance policy; a 401(k) plan with an annual profit-sharing contribution; paid vacation and sick time; monthly cell phone reimbursement; and bonus eligibility.


Responsibilities


  • Provide administrative support to the project team from job start through closeout, maintaining organized and compliant contract files for each assigned project.
  • Set up new projects in the accounting system, file preliminary notices, and manage the contract review and execution process.
  • Enter approved project budgets and schedules of values, and coordinate recurring job cost, labor, and contract reporting.
  • Coordinate insurance, payment and performance bonds, riders, and consent of surety documentation for each project.
  • Prepare and process billings in accordance with general contractor and project-specific requirements, including timely revisions.
  • Track monthly compliance requirements to prevent payment holds, and collect lien releases and other compliance documentation from subcontractors and vendors.
  • Provide the executive team with weekly payment status updates.
  • Maintain subcontractor files and compliance logs, including licenses, insurance, and lien release tracking.
  • Process subcontractor agreements and change orders through execution and system entry.
  • Review subcontractor billings and route for project manager approval prior to entry.
  • Facilitate change order request tracking and budget updates, and process signed change orders through the schedule of values.
  • Review project correspondence drafted by the project manager for professional format, grammar, and structure.
  • Reconcile contracts and payments, prepare retention billing, and compile closeout documentation at project completion.
  • Provide data entry support and general administrative assistance as needed.
  • Participate in accounting department, project, and office staff meetings as scheduled.


Requirements


  • High school diploma required; an Associate's or Bachelor's degree in Business Administration is preferred.
  • Minimum of 3 years of related administrative experience, ideally supporting subcontractors or general contractors on long-duration projects with complex, ongoing paperwork.
  • Administrative experience within the construction industry strongly preferred.
  • Proven ability to manage multiple active projects simultaneously with high attention to detail.
  • Strong written communication skills, including the ability to write, edit, and refine professional correspondence.
  • Comfortable working under pressure and adapting quickly to shifting priorities and deadlines.
  • Proficiency with MS Office, including Word, Excel, and Outlook; experience with Bluebeam preferred.
  • Strong typing and 10-key data entry skills.
  • Ability to communicate effectively and professionally with customers, vendors, and internal teams.
  • Comfortable working in an in-office, team-oriented environment five days a week.
  • Willingness to travel occasionally as required.
  • Team-first attitude with an interest in mentoring and supporting colleagues within the department.
