Position Summary:
The Document Delivery Services Assistant provides expert day-to-day coordination of the library's Document
Delivery Service (DDS) for VU and VUMC users. This position embraces, supports, and contributes to the mission and vision of the Vanderbilt University and Vanderbilt University Medical Center. The Library Assistant for Document Delivery partners with the institution in the pursuit of excellence in education, research, and clinical care by efficiently and effectively managing the library's resource sharing service. This job description outlines the broad scope of responsibilities for these positions, which may vary over time to reflect strategic initiatives. Library staff are expected to support and participate in system-wide library committees or other strategic initiatives as an integral component of their responsibilities.
About the Work Unit:
The Jean and Alexander Heard Libraries at Vanderbilt University is comprised of nine libraries, as well as service departments in technical services, scholarly communications, IT infrastructure, and digital scholarship. We seek to create a welcoming environment and serve as a partner in research and scholarship. The libraries are dynamic places for faculty, staff, students, and alumni to reflect and discover. The Jean and Alexander Heard Libraries are fundamental to the university's goal of advancing scholarship and learning. We collect, preserve and make accessible a wide variety of resources, we partner with faculty and students to shape research, and we encourage the development of informed scholars and engaged citizens.
The Annette and Irwin Eskind Family Biomedical Library and Learning Center (EBL) supports the education,
research, and patient care missions of Vanderbilt University and the Vanderbilt University Medical Center. The
library's comprehensive biomedical and health sciences collection is comprised of a variety of electronic
databases; journals; and books, and a small number of print volumes. The biomedical library consists of four units:Public Services, Reference and Instruction, Collections, and Document Delivery. All staff are cross-trained to assist in multiple areas within EBL, frequently participate in professional development opportunities, and are active throughout many library-wide committees and initiatives.
Key Functions and Expected Performance:
  • Assists the Document Delivery Coordinator with fulfilling borrowing and lending requests from our
    patrons within Vanderbilt University, Vanderbilt University Medical Center, and other external
    institutions.
  • Responds to inquiries from faculty, staff and students.
  • Verifies, when necessary, bibliographic information by searching the library databases.
  • Maintains appropriate documentation for accurate patron records and billing.
  • Creates, submits, and reconciles invoices to clients.
  • Collects the appropriate statistics for internal and external reporting and benchmarking.
  • Staffs the library information desk.
  • Assists with scheduling the library's study and meeting rooms.
  • Assembles, monitors and maintains the print and electronic reserves collection.
  • Promotes library services and resources through outreach activities, campus engagement and event planning.
  • Stays abreast of the professional literature and seeks opportunities for internal and external professional development.
  • Serves on library, school-level or university committees and task forces.
  • Other duties as assigned.

Supervisory Relationships:
This position does not have supervisory responsibility. This position reports administratively and functionally to the Director, Eskind Biomedical Library.
Education and Certifications:
  • Bachelor's degree required.

Experience and Skills:
  • Prior library experience is preferred.
  • Experience with Illiad, OCLC or Docline is preferred.
  • Experience with Microsoft Office applications is required.
