About the Role

AVIAN (pronounced a-v-yin) is seeking an Operations Officer to provide programmatic, operational, and administrative support to a dynamic project team supporting international and/or Department of Defense initiatives. The Operations Officer will serve as a central coordination point across multiple functional areas, helping ensure effective communication, knowledge management, personnel support, and execution of project objectives. This role requires a highly organized professional capable of balancing operational oversight with day-to-day administrative execution in a fast-paced environment.

Responsibilities

  • Lead the Small Boat Parts (SBP) workstream by coordinating project activities, priorities, and execution strategies in alignment with program objectives.
  • Support management of workstream cost, schedule, and performance metrics through coordination, tracking, and reporting activities.
  • Conduct market research activities related to sustainment parts and procurement support efforts.
  • Coordinate with internal and external stakeholders to ensure SBP orders are delivered to partner nation end-users in accordance with program timelines and requirements.
  • Provide personnel and onboarding support, including:
  • Provide administrative and operational support to the Project Lead and Workstream Leads.
  • Coordinate travel requirements for team members, including travel planning support and tracking estimates within the Travel Rough Order of Magnitude (ROM).
  • Oversee project Knowledge Management activities, including:
  • Maintain team calendars and coordinate meetings, engagements, and conference room scheduling.
  • Support preparation of reports, meeting materials, action item tracking, and other operational deliverables.
  • Facilitate communication and coordination across geographically dispersed teams and stakeholders.
  • Ensure administrative processes and documentation are completed accurately and in accordance with organizational procedures.

Required Qualifications

  • Bachelor’s degree in Business Administration, Management, Communications, Logistics, Program Management, or a related field. Equivalent relevant experience may be considered in lieu of degree requirements.
  • Minimum of ten (10) years of experience supporting program operations, project coordination, administrative management, or related functional areas.
  • Experience coordinating multiple tasks, schedules, and stakeholders in a fast-paced operational environment.
  • Experience with Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Word.
  • Experience using SharePoint Online (SPO) and Microsoft Teams for collaboration and document management.
  • Strong organizational skills with demonstrated attention to detail and follow-through.
  • Ability to communicate effectively with leadership, teammates, customers, and external stakeholders.
  • Must be able to obtain and maintain a Department of Defense security clearance
  • Due to the sensitivity of customer-related requirements, U.S. Citizenship is required.
  • Salary range: $110,000 - $140,000 (The offered rate will be based on the selected candidate’s knowledge, skills, abilities, and/or experience and in consideration of internal parity.)
