Position Summary
We are seeking a highly organized, detail-driven Technical Project Coordinator to support the planning, design, development, and construction oversight of a diverse portfolio of projects. This role works closely with the Program Manager to ensure project objectives are met by coordinating documentation, facilitating communication across internal and external teams, and maintaining accurate, timely project records.
The ideal candidate is a proactive self-starter who excels in a fast-paced environment, demonstrates strong judgment, and communicates effectively with cross-functional stakeholders. Success in this role requires the ability to manage multiple priorities, maintain confidentiality, and consistently deliver high-quality work with precision and accountability.
Key Responsibilities
Project & Team Support
  • Support the Program Manager in overseeing design and construction activities, including managing design reviews, submittals, RFIs, review packets, milestone tracking, and adherence to project schedules, deliverables, and budgets.
  • Coordinate with architects, engineers, contractors, consultants, and internal teams to ensure timely information flow and maintain accurate, up-to-date design and construction documentation.
  • Participate in project and construction meetings; document meeting minutes, action items, decisions, and follow-up requirements to ensure alignment across teams.
  • Assist with pre-construction and post-construction documentation reviews, including drawing sets, change orders, contractor submissions, and project status reports.
  • Develop and maintain project dashboards, trackers, and reporting tools that provide real-time visibility into schedule, budget, risk, and milestone performance across multiple concurrent projects.
  • Create, update, and maintain Lease Outline Drawings (LODs) and concessions program mapping to accurately reflect tenant boundaries, unit configurations, and spatial allocations, ensuring alignment with program requirements, construction sequencing, and project documentation.
  • Maintain organized project files and document control systems, ensuring all drawings, specifications, permits, and correspondence are properly archived, version-controlled, and easily accessible.
  • Support permitting and regulatory compliance activities by tracking submission timelines, agency approvals, inspection requirements, and related documentation throughout all project phases.

Requirements
Required Qualifications
  • Bachelor's degree in architecture, engineering, construction management, project management, or a related field (or equivalent professional experience).
  • Minimum of 2 years of experience supporting engineering, design, or construction projects; program or project coordination experience preferred.
  • Strong understanding of project lifecycles, design development processes, and construction methodologies.
  • Proficiency with project management platforms such as MS Project, Smartsheet, Primavera, Asana, or Jira.
  • Experience with document control systems and version management tools (e.g., SharePoint, Aconex, Documentum).
  • Familiarity with CAD/BIM tools and the ability to interpret architectural and engineering drawings (AutoCAD, Revit, Bluebeam).
  • Strong technical writing skills with the ability to produce clear, concise meeting minutes, RFI logs, and project status reports.
  • Exceptional organizational and time-management abilities; capable of prioritizing multiple tasks and meeting deadlines in a dynamic environment.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively across multidisciplinary teams.
