Job description

We are seeking a highly organized and detail-oriented Customer Service & Operations Support II professional to join our team. This entry- to mid-level role is ideal for an individual with strong customer service and administrative skills who enjoys working in a fast-paced, team-oriented environment. The position is responsible for processing customer orders, maintaining accurate data, and managing overages, shortages, and damage claims to support the Accounting team with timely customer invoicing and credits. The ideal candidate is proactive, customer-focused, eager to learn, and committed to delivering accurate work while providing exceptional service to both internal and external customers.


Essential Duties and Responsibilities:

 

Customer Service:

 

  • Process customer orders accurately and efficiently while ensuring compliance with company policies and procedures.
  • Respond to customer inquiries via phone and email, providing timely, accurate, and professional service.
  • Address customer concerns and resolve issues promptly while maintaining positive customer relationships and a high level of customer satisfaction.
  • Accurately enter customer orders and related information into internal systems, ensuring data integrity.
  • Maintain accurate, complete, and up-to-date customer records in accordance with company standards.
  • Review customer orders for overages, shortages, damages, and other discrepancies, and process appropriate adjustments.
  • Partner with the Accounting team to ensure accurate documentation and the timely processing of customer invoices, credits, and adjustments.
  • Collaborate with Logistics and Inventory teams to investigate discrepancies, verify order details, and ensure accurate reporting and resolution.


Operations Support:

 

  • Prepare, maintain, and distribute reports, correspondence, and operational documentation with a high degree of accuracy.
  • Organize and maintain electronic and physical filing systems to ensure efficient access, retrieval, and record retention.
  • Collaborate cross-functionally with Sales, Accounting, Logistics, Warehouse, and Operations to support efficient workflows and ensure accurate order processing.
  • Participate in team meetings, identify opportunities for process improvements, and contribute to initiatives that enhance customer service, operational efficiency, and data accuracy.
  • Provide administrative and operational support to various departments and perform other duties as assigned to meet business needs.


Qualifications:

  • High School Diploma or GED. 
  • Minimum of 2 years of experience in customer service, administrative support, order processing, or operations support. 
  • Strong computer skills, including: 
    • Microsoft Excel 
    • Microsoft Word 
    • Outlook 
  • Excellent verbal and written communication skills. 
  • Strong organizational and time management skills. 
  • Excellent attention to detail and accuracy. 
  • Ability to prioritize multiple tasks while meeting deadlines.

  • Ability to work independently and collaboratively in a team environment.


Physical Demands:
