Operations Coordinator

Perma-Culture, Inc.
Dade City, FL
Full-Time

About Us

Perma-Culture, Inc. is a commercial landscape and irrigation contractor serving general contractors, developers, municipalities, and commercial property owners throughout Central Florida. We specialize in large-scale landscape and irrigation installation projects.

As we grow, we are looking for an Operations Coordinator who thrives in a fast-paced environment and enjoys keeping people, projects, and information organized.

Position Summary

The Operations Coordinator is the communication hub of our company.

This position supports Operations by ensuring customers receive timely communication, field personnel have the information they need, schedules remain organized, and projects continue moving efficiently.

You won't be expected to make operational decisions. Instead, you'll work closely with other company leaders to coordinate communication, maintain schedules, track open items, and ensure nothing falls through the cracks.

If you're highly organized, enjoy solving problems, and love bringing order to a busy day, we'd like to meet you.

What You'll Do

  • Answer incoming customer phone calls and emails.
  • Serve as the primary point of contact for customer communication.
  • Route requests to the appropriate department and follow up until resolved.
  • Maintain and distribute the daily production schedule.
  • Coordinate schedules for field supervisors, inspections, meetings, and customer visits.
  • Maintain action lists for field superintendents and leadership.
  • Dispatch drivers with daily pickup and delivery information.
  • Track open tasks and follow up to ensure completion.
  • Coordinate communication between Operations, Sales, Purchasing, Accounting, and Field personnel.
  • Assist leadership with administrative and operational support.
  • Maintain organized electronic project files and documentation.
  • Help identify communication gaps and improve office efficiency.

What We're Looking For

The ideal candidate is someone who:

  • Is exceptionally organized.
  • Can comfortably manage multiple priorities throughout the day.
  • Communicates professionally with customers and employees.
  • Enjoys keeping people organized and accountable.
  • Remains calm under pressure.
  • Learns new software quickly.
  • Is proactive rather than reactive.
  • Has excellent attention to detail.
  • Enjoys working as part of a team.

Preferred Qualifications

  • 3+ years of office, operations, construction, or project coordination experience.
  • Strong customer service background.
  • Experience working in construction, landscaping, irrigation, or related industries is a plus.
  • Proficiency with Microsoft Office and Google Workspace.
  • Experience with scheduling or project management software is preferred.

What Success Looks Like

Success in this role means:

  • Customers receive prompt, professional communication.
  • Information reaches the right people quickly.
  • Daily schedules are accurate and well communicated.
  • Field leaders stay organized with clear priorities.
  • Follow-up items are completed without reminders.
  • Operations run smoother because communication is consistent and organized.

Compensation & Benefits

We offer competitive pay based on experience along with opportunities for long-term growth within our organization.

Why Join Us?

We're not looking for someone to simply answer phones, we're looking for someone who wants to become an essential part of our team.

Your ability to organize people, communicate effectively, and keep projects moving will directly impact the success of our company every day.

If you enjoy creating order from chaos, solving problems, and making a real difference, we'd love to hear from you.
