Job description

Position: Office Administrator – Night Shift

Pay Rate: $25.00–$26.00/hour

Location: Oakdale, CA

Schedule: Sunday–Thursday | 6:00 PM–4:00 AM

Must be flexible to work up to 12-hour shifts when additional coverage is needed.

Position Summary

We are seeking a highly dependable and detail-oriented Office Administrator to support overnight administrative, order processing, and cash reconciliation operations. This position plays a critical role in ensuring daily paperwork, customer invoices, driver documentation, and payments are processed accurately and on time.

Duties and Responsibilities

  • Check in driver bags as they are received and verify all required documentation is included.
  • Confirm all invoices are accounted for and properly signed when required.
  • Reconcile daily payments, including cash and checks.
  • Accurately handle, count, document, and account for large sums of cash.
  • Investigate discrepancies and resolve or escalate issues as necessary.
  • Process and invoice customer orders accurately.
  • Prepare delivery paperwork, driver packets, and supporting documentation.
  • Ensure paperwork is complete and ready for drivers beginning their shifts between 3:00 AM and 6:00 AM.
  • Maintain accurate records and organized documentation.
  • Answer incoming phone calls and provide professional customer service.
  • Assist customers and sales representatives with questions and requests.
  • Process will-call orders and coordinate customer pickups.
  • Perform data entry and update information within company systems.
  • Provide general administrative and office support as needed.
  • Maintain confidentiality and follow established cash-handling and company procedures.

Qualifications

  • Previous cash-handling experience required.
  • Experience handling and reconciling large sums of cash strongly preferred.
  • Strong attention to detail and a high degree of accuracy.
  • Excellent organizational, analytical, and problem-solving skills.
  • Proficiency with Microsoft Office required.
  • Strong computer and data-entry skills.
  • Ability to quickly learn new software and computer systems.
  • Ability to work independently with minimal supervision.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong verbal and written communication skills.
  • Previous customer service or administrative experience preferred.
  • Bilingual English/Spanish preferred.
  • Dependable and committed to working overnight hours.
