Job description

Proposal Coordinator Senior supports the Proposal Manager with proposal development activities, to include proposal document management. Oversees proposal publications, monitoring progress and establishing priorities and deadlines for production including desktop publishing, graphics, and printing. Ensures proposal deliverables comply with all proposal preparation instructions specified in the RFP. Supports the Proposal Manager in proposal kickoffs, color team reviews, and other proposal development activities.

Principal Accountabilities

(Typical duties include the following, although specific duties vary by assignment or contract.)

  • Analyzes RFP and develops/updates compliance matrix; creates proposal information document (PID)
  • Develops proposal template, adhering to proposal production requirements
  • Develops writers' documents based on proposal database or Proposal Manager outline
  • Develops and updates plans, schedules, materials, and files; tracks action items via RAIL to established suspense dates/times
  • Provides direction for advanced desktop publishing functions, administrative support, security, control and distribution of proposals or other documents. Ensures quality assurance and quality control at all stages of proposal preparation.
  • Oversees all proposal publication activities, to include the following:
  • Coordinates graphics, desktop publishing, proofreading, and production support of all assigned proposals, including drafts, final submission, and ENs, ensuring a high standard of quality
  • Determines style, techniques, and medium best suited to produce desired effects and conform with production requirements
  • Discusses graphics and text requirements at various stages of completion and making necessary changes as determined by customer; proofing work to minimize errors and reworks errors
  • Develops Final Production Checklist
  • Coordinates the production of print requests for proposal teams, including RFP books, proposal volumes, and other proposal-related artifacts for kick-offs, color teams, and final print
  • Coordinates final production of all proposal deliverables, including assembly, book checks, packaging, and shipping
  • Assists Proposal Managers in development and update of proposal management plans as assigned
  • Manages SharePoint proposal site content and user right access administration for SharePoint and PleaseReview; trains and assists proposal team members in use of the proposal template and electronic collaboration tools
  • Prepares archives of proposals following final submission
  • Works closely with customer/requestor to ensure job requirements are to company standards and customer satisfaction
  • Troubleshoots computer and production equipment problems
  • Performs other duties as assigned.

Knowledge & Skills

  • Demonstrated ability to work efficiently under conditions of multiple deadlines and changing priorities to produce a large volume of high-quality material with attention to detail
  • Strong knowledge of the English language; excellent grammar, writing, and proofreading skills
  • Experience reading and analyzing Request for Proposals (RFPs)
  • Working knowledge of industry standard proposal management processes
  • Strong interpersonal skills and team player attitude; comfortable working in a matrixed environment
  • Adaptable to changing schedules in a fast-paced and demanding environment
  • Customer-service oriented
  • Demonstrated organizational skills, Detail-oriented; produces high-quality, accurate work in a timely manner
  • Excellent oral communication skills as well as conflict management and diplomacy skills
  • Experience coordinating with production teams and print services
  • Demonstrated proficiency with desktop publishing/graphics software such as Adobe Illustrator
  • Advanced/expert knowledge of Microsoft applications (specifically Word)
  • Knowledge of document production and file version control systems
  • Knowledge of Department of Defense (DoD), U.S. Government structure and agency acquisition procedures is preferred

Experience & Education

  • Bachelor's degree or additional education may be substituted for experience or additional experience may be substituted for education (generally 2 years of experience equals 1 year of education).
  • Five plus (5) years of experience developing proposals for major U.S. Government contracts or similar work experience
  • Travel may be required up to 10% for onsite meetings
  • US Citizenship required

Compensation Details:

$90 - $110k
