Job description

HYBRID

Who we are: Groups360 is a booking engine for meeting space founded in 2014 by former Gaylord Entertainment executives Dave Kloeppel and Kemp Gallineau. Groups360 was created with a singular goal, to empower meeting planners by bringing innovation, transparency, and simplicity to the decades-old problem of booking groups. The company's technology, GroupSync, enables suppliers to distribute inventory, engage with planners, and optimize group revenue. GroupSync also equips planners to search and shop hotels worldwide and book rooms and space directly, online, or through a simplified RFP process. GroupSync is the first distribution channel to offer online booking for both group hotel rooms and meeting space. Groups360 has offices in Nashville and London.

Our Partners: In 2019, major hospitality players Accor, Hilton, IHG and Marriott, invested a combined $50 million in Groups360 to help fuel instant-booking development. In 2022, the world's largest alternative asset manager Blackstone Innovations Partners, New York Hedge fund Fir Tree Partners, and property and technology investment firm, Zigg Capital invested a combined $35 million in Groups360 to help drive the industry wide transformation, making group travel simple. Life at Groups360: Groups360 is an innovative, high-growth company with offices in Nashville, London and Singapore. Groups360 is an equal opportunity employer, and our dedication to promoting diversity, multiculturalism and inclusion is reflected in the foundation of all we do.

The Role: The Senior Program Manager keeps Groups360's technology programs and projects moving tracking scope, risk, dependencies, and status across our development teams. This role connects the dots across teams, sequences work at the program level, keeps risks visible, and makes sure leadership and stakeholders always know where things stand. Depending on the program, this role may also take on a customer-facing dimension, representing program status and plans directly to clients in addition to internal stakeholders.

This person will have full access to Claude Enterprise and will use it as part of how they workday to day drafting status updates and RCA narratives, pulling data from Jira and Confluence through Atlassian Rovo, building dashboards, and cutting down the time spent on routine reporting. We're looking for someone who's comfortable owning program delivery end to end, and who wants to put AI tools to real use rather than treating them as a checkbox.

What You'll Do

  • Manage complex technology programs and projects through to completion, keeping them aligned with business objectives and the broader company vision
  • Track and coordinate dependencies across multiple related projects within a program to ensure integrated, timely delivery
  • Articulate the impact of company-level priority changes on program scope, timeline, and objectives, and provide the data leadership needs to make informed prioritization decisions
  • Own and proactively maintain the risk register for all active programs, escalating risks to leadership as needed
  • Define clear escalation paths for risks and blockers, so issues get in front of the right person in time to act on them
  • Serve as the primary communicator of program status, progress, and key metrics to leadership and stakeholders
  • Define the success metrics for each program what "on track" actually means and use them consistently in reporting and decision-making
  • Keep an eye on program and project budgets relative to plan, flagging variances early and working with stakeholders to keep spend aligned with expected outcomes
  • Factor team capacity into sequencing and prioritization decisions, surfacing where competing priorities are stretching resources too thin
  • Partner closely with development teams to understand scope, sequencing, and dependencies, staying plugged into what's happening across each one
  • Monitor the health and progress of individual projects across the portfolio, and work through tactical roadblocks as they come up
  • Run lessons-learned reviews once major programs wrap, and carry those takeaways into how the next ones get planned
  • Build and maintain reporting and dashboards using Jira, Confluence, and Atlassian Rovo to give stakeholders visibility into program and project health
  • Use Claude Enterprise to support program management work status reporting, data synthesis, documentation, and other recurring tasks and help spot new opportunities for AI-assisted process improvement
  • Facilitate communication and coordination across internal departments and, where needed, directly with external clients on customer-facing programs, to keep everyone aligned and moving efficiently
  • Communicate effectively with both internal and external audiences, using judgment to determine what information is appropriate to share with each based on their role, context, and need to know

What We're Looking For

Required:

  • 5+ years of experience managing complex technology programs or projects, ideally across multiple concurrent workstreams
  • Proven ability to track dependencies across teams and sequence work at the program level
  • Hands-on experience building and maintaining a risk register, including defining escalation paths that actually get issues in front of the right person in time
  • Strong working knowledge of Jira and Confluence for tracking work, building dashboards, and reporting on program health
  • Comfort using AI tools like Claude Enterprise or Atlassian Rovo as part of daily workflow drafting updates, synthesizing data, and reducing time spent on routine reporting
  • Track record of owning program-level status communication to leadership, including defining what "on track" means and reporting against it consistently
  • Experience monitoring budgets against plan and flagging variances before they become a problem
  • Excellent written and verbal communication skills, with sound judgment about what to share with whom
  • Comfort with ambiguity and a shifting mix of priorities across an active portfolio of programs

Nice to Have:

  • Direct client-facing program management experience on customer-facing initiatives
  • Hands-on experience with Atlassian Rovo or similar AI-augmented reporting tools
  • PMP, PgMP, or similar program/project management certification
  • Experience facilitating lessons-learned or retrospective reviews and feeding takeaways into future planning
  • Background working alongside software development or QA teams, giving fluency with how dev teams scope and sequence work
  • Experience managing programs in a hybrid or distributed organization

What Success Looks Like

  • Maintaining proactive, real-time visibility into program status for leadership and stakeholders, eliminating the need for status inquiries.
  • Fostering a culture of early detection risks management so teams can pivot, recover, and stay on track. We fail fast to recover faster, escalating risks at the first sign of friction so we can resolve them proactively, not retroactively.
  • Dependencies across teams are sequenced smoothly, minimizing rework and idle time
  • Program and project budgets track close to plan, with variances flagged and addressed early
  • Major programs wrap with retrospectives, in order to identify the things, we should continue doing and document any lessons learned to grow in our ways of working.
  • Claude Enterprise and Atlassian Rovo are woven into your day-to-day reporting, cutting real time out of routine status work
  • Fostering unwavering client confidence through transparent, high-precision reporting on customer facing initiatives.

Core Business Hours: 8:00 a.m. to 5:00 p.m. M-F, Hybrid; these hours may vary depending upon your position and work requirements.

Status: Exempt

Location: Brentwood, TN. HYBRID (3 days in-office, 2 days remote)
