Job Summary: 

This Executive Assistant position reports directly to the Vice President and General Manager of the mountain. This role provides executive assistance and project management support to the General Manager and other members of the resort Senior Leadership Team. Job Responsibilities:

  • Manage complex calendars, schedules, and facility bookings for the General Manager and leadership team.
  • Coordinate all travel arrangements, itineraries, and expense reporting for the General Manager.
  • Partner with the General Manager to track and communicate upcoming commitments, priorities, and responsibilities.
  • Prepare meeting materials including agendas, presentations, contracts, permits, and reports.
  • Maintain and organize filing systems, contact databases, organizational charts, and key calendars (manager schedules, budget timelines, etc.).
  • Manage and maintain office equipment, service contracts, and administrative office upkeep.
  • Support facilitation and execution of Resort Leadership Team and Senior Leadership Team meetings. -NEW
  • Develop meeting agendas, build PowerPoint presentations, and track action items and follow-ups. -NEW
  • Help ensure alignment and communication across leadership teams. -NEW
  • Play a key role in workforce management initiatives, including scheduling optimization and labor alignment across departments. - WFM

  • Act as a Resort Employee Housing Liaison. Manage divisional housing allocations and oversee employee placement into housing. - 
  • Plan, coordinate, and execute Senior Leadership offsite retreats.
  • Plan and execute events including town halls, resort wide connections, and community stakeholder gatherings.
  • Manage budgets related to the General Managerโ€™s office.
  • Oversee purchasing, inventory, and site maintenance coordination.
  • Manage leases, lease payments, and vendor/service agreements.
  • Administer subscription and membership accounts (e.g., HOA, Chamber, publications).
  • Assist with Mountain Money processes.
  • Manage licensing requirements for Food & Beverage operations (liquor, operating, sales tax).
  • Coordinate records retention and document management practices
  • Demonstrate flexibility, dependability and a positive attitude.
  • Demonstrate willingness and ability to support all frontline operations during high volume time periods, as needed.
  • Manage and maintain office equipment, scheduled maintenance and associated service contracts. Maintain and secure all specialized office equipment.
  • Support resort communication plans, training programs, and management outreach initiatives

Job Requirements:

  • High School Diploma or GED
  • 3+ Years previous administrative experience to an executive-level position
  • Adequate knowledge of Microsoft Office Suite and Computer Software systems to effectively complete assigned tasks
  • Excellent written and verbal communication skills
  • Excellent organizational skills
  • Fluent English Language skills

The expected pay range is $23.59 - $31.45. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.
