Program Assistant
Responsible for assisting the Senior Escort Program and Housing Program and performing other office duties for the department.
Essential Functions:
Answers incoming phone calls for the Social Services Department as a receptionist.
Supports the Social Services Department and assists with the day-to-day operations of the office by maintaining a clean and neat environment for clients and staff.
Performs general office support, including filing, typing, faxing, copying, and other clerical tasks, data entry, invoices, and answering main line or related paperwork for the Social Services Department.
Provides administrative assistance on ordering office supplies and inventory, maintaining department supplies assignment, tracking order status, keeping order receipts, ordering monthly travel passes, office arrangements, and monthly expense reports.
Prepares reports as required by funding sources. Maintains complete consumer files and completes all required data collection forms and reports.
Assists the Social Services Department in conducting outreach in the community to promote social services programs.
Provides intake, assessment, scheduling and referral to seniors age 60 or over for Senior Escort Program and Housing Program.
Assists in scheduling senior escort and housing appointments, making arrangements and confirming with clients, Senior Escort Service Workers, and Drivers.
Receives training as a Senior Escort Service Worker and provides escort services when needed.
Provides information, referrals and counseling on available housing opportunities; assists clients in the application process by helping them with form completion and/or other needed assistance; recertification, lottery checks and follow-up on housing application status.
Performs duties as assigned.
Qualifications:
A high school graduate with relevant housing experience. Bachelor's degree preferred.
Experience in providing health, social or aging services in the community.
Excellent verbal and written communication and presentation skills.
Must be self-motivated, organized and able to multitask under minimal supervision.
Proficient in MS Office and the Internet.
Must be bilingual in English and Cantonese. Biliterate in English and Chinese are a plus.
Must be able to travel via public transportation or personal vehicle for the performance of job duties. If driving, must have and maintain a valid CA driver license, satisfactory driving record, and auto insurance coverage as specified in Self-Help's policy.
