Position Summaryย 

Theย Practice Managerย provides leadership andย direct siteย management for day-to-day operationsย withinย assignedย LLCHC locations.ย Thisย includesย ensuring adequate and thoroughly trained staffing, process andย procedureย adherence, andย monitoring of andย adherence to quality metricsย to support the sites(s).ย ย Hands-on engagement with identified improvement initiativesย will be critical.ย ย Daily attention to the assigned site(s)โ€™ exterior and interior appearance isย required.ย Especially important is a focus on creating aย culture andย environment thatย supportย aย consistentlyย positiveย patient experience.ย ย ย 

The Practice Managerย works collaboratively with theย Director of Operations,ย front andย back-officeย staff,ย Providers,ย Human Resources,ย Seniorย Management,ย and otherย Practice Managersย toย develop and implement trainingย thatย createsย best practice toย satisfyย patient care,ย as well asย to measure team member performance against benchmark metrics.ย ย Use of this data, coupled with observations and feedback from others forย progressiveย development of teamย membersย will be key.ย ย Also critical for this positionย is ensuringย provider,ย team member,ย and patient satisfaction throughย continualย open communication.ย ย 

ESSENTIAL JOB RESPONSIBILITIES:ย ย 

RESPONSIBILITY 1-ย Officeย and Clinicย Managementย 

  1. Provides direct supervision ofย frontย andย back-officeย staff.ย Overseesย enhancement of these department processes.ย ย 

  1. Responsible for dailyย professionalย appearance of assigned sites, includingย the exterior of buildings.ย Utilizes facility team ticketing system for any identified needs requiring remedy.ย 

  1. Orientsย new staffย atย appropriate levels.ย 

  1. Communicatesย process changes, issues and accolades for staff,ย providersย and management.ย 

  1. Followsย an inventory control processย forย allย office and medicalย supplies,ย regularlyย placing orders toย correct inventory deficiencies.ย 

  1. Responsible forย organizing,ย andย conducting regular site meetings.ย 

  1. Maintains site regulatory compliance: HIPAA, OSHA, CLIA, Terminal Distribution; 340B Floor Medicationsย 

  1. In collaboration with theย Director of Operations,ย reviews KPI measurements andย monitors site specific productivity goals andย objectivesย for the site.ย ย ย 

  1. Ensures adequate staff coverage forย theย responsible sitesย ofย LLCHC.ย 

  1. Ensures site participation in the Quality Improvementย and Compliance plans.ย 

  1. Communicates withย Director of Operations andย site-basedย providers on operational and oversight issues.ย 

  1. Participatesย in administrative meetingsย as needed.ย 

  1. Overseesย proper use, maintenance, problem issues andย arrangesย theย repair ofย officeย equipment,ย includingย computer,ย fax,ย copier, andย phone.ย 

  1. Overseesย opening/closing proceduresย for sites.ย 

  1. Independentlyย composes,ย compilesย and preparesย anyย department reports, audits and documents as assigned.ย 

  1. Other dutiesย withinย scopeย of positionย as assigned.ย 

RESPONSIBILITYย 2-ย Personnelย 

  1. Evaluatesย performance ofย front officeย and clinicalย staff,ย studentsย and volunteers.ย ย ย Maintainsย performanceย evaluations schedule.ย 

  1. Creates and deliversย team memberย coaching and improvement plans.ย 

  1. Interviews,ย hiresย and trainsย newย team membersย and ensures proper training to includeย competency training and testing.ย 

  1. Selects candidates for,ย assistsย with interview coordination if needed, andย identifiesย successful candidates to fill open positions.ย ย 

  1. Approvesย time sheets and completesย all needed HR and payroll paperwork forย supervisedย team members.ย 

  1. Tracks absenteeism and approves time off requests.ย 

  1. Executesย LLCHCโ€™s progressive discipline process with team members asย required.ย 

RESPONSIBILITYย 3ย -ย Generalย 

  1. Models and promotes professionalย behavior on a continuous basis.ย 

  1. Develops and maintains working knowledge of local, state and national regulations and standards specific to LLCHC and ensures staff and site compliance.ย 

  1. Demonstrates a working knowledge of each siteโ€™s budget and financial performance, where they exist. Actively worksย within the budget and staffing parameters and supports cost saving inititatives.ย 

  1. Exercises critical thinking in problem solving and presents ideas and solutions clearly and concisely for actual and potential situations.ย 

  1. Interacts with the medical staff and other leaders of the organization, buildingย relationships and establishing trust and rapport to plan and deliver quality patient care.ย 

  1. Maintains ongoing collaborative relations with peers and participates in committees and task forces as requested.ย 

  1. Is a resource for and demonstrates leadership in collaboration across departmental lines to resolve inter-ย and intra-departmental issues which could interrupt delivery of patient care.ย 

  1. Supports current organizational intitatives and exhibits creativity and flexibility in times of change.ย 

  1. Develops, coaches and mentors team members to create an optimal patient experience, and course-corrects as needed.ย

QUALIFICATIONS:ย 

Required:

  • Bachelorโ€™s degree in public health, business, health careย administrationย or related field with three years of clinic management experience in an outpatient or related health care setting, OR equivalent experience in clinic management. Clinical certificationย preferred.ย ย 
  • Supervisory experience.ย ย Experience in a clinical or healthcare setting preferred.ย 

  • Weekly travel between LLCHC locations.ย 

  • Ability to occasionally flex workย scheduleย to accommodate business needs.ย 

  • Ability to effectively support, motivate and supervise staff, encourage, and nurture development and growth, to build a strong and productive team.ย 

  • Strong organizational, administrative, multi-tasking,ย prioritizationย and problem-solving skills.ย 

  • Ability to work independently and make sound judgments within established guidelines; understand and apply oral and written instructions;ย establishย and maintain effective working relations with staff, clinical providers, managers and external agencies or organizations.ย
