G&A Partners' client is currently seeking an Executive Assistant to the Senior Pastor to join its team in Humble,TX.

Summary

The Executive Assistant to the Senior Pastor serves as a highly trusted administrative and strategic partner responsible for maximizing the effectiveness, efficiency, and stewardship of the Office of the Senior Pastor.

This position manages executive scheduling, communications, project coordination, meeting preparation, board and community engagement logistics, and confidential administrative matters on behalf of the Senior Pastor. The Executive Assistant helps ensure that priorities are aligned, deadlines are met, relationships are maintained, and the Senior Pastor can focus on vision, preaching, leadership development, and strategic ministry initiatives.

The ideal candidate is exceptionally organized, proactive, emotionally intelligent, detail-oriented, and able to manage multiple priorities in a fast-paced ministry environment while maintaining the highest level of professionalism and confidentiality.

This role serves a critical leadership support function in advancing The Church's mission, vision, and strategic priorities by effectively managing the Senior Pastor's office.

Responsibilities

GENERAL

  • A Christian in complete agreement with The Church's statement of faith, willing and able to serve Christ and His church, spiritually mature.
  • Demonstrate commitment to the mission, vision, and values of The Church.
  • Maintain the highest standards of professionalism, discretion, and confidentiality.
  • Build exemplary relationships with members, staff, volunteers, community partners, and external stakeholders.
  • Represent the Senior Pastor with professionalism, hospitality, and excellence.
  • Perform other duties as assigned by the Senior Pastor.

EXECUTIVE OFFICE MANAGEMENT

CALENDAR AND SCHEDULING MANAGEMENT

  • Manage and maintain the Senior Pastor's calendar, appointments, meetings, speaking engagements, travel, and ministry commitments.
  • Coordinate travel arrangements, itineraries, lodging, transportation, and logistics for the Senior Pastor.
  • Prioritize requests and opportunities according to strategic organizational priorities.
  • Coordinate meeting logistics, agendas, briefing materials, and follow-up actions.
  • Anticipate scheduling conflicts and proactively recommend solutions.

CORRESPONDENCE AND COMMUNICATIONS

  • Serve as the primary point of contact for communications to the Office of the Senior Pastor.
  • Draft, edit, and manage correspondence, reports, recommendations, and executive communications, including routine responses for the Senior Pastor's review and approval.
  • Manage and prioritize incoming email and requests on behalf of the Senior Pastor, ensuring timely, professional follow-up.
  • Coordinate communication between the Senior Pastor and church leadership, staff, trustees, board members, ministry leaders, and external partners.

CONFIDENTIAL ADMINISTRATIVE SUPPORT

  • Handle highly confidential information regarding personnel matters, leadership discussions, donor information, church business, and strategic initiatives.
  • Maintain organized records, files, reports, and executive documentation.
  • May occasionally assist with confidential scheduling and logistical matters involving the Senior Pastor's family, while maintaining the highest level of discretion and professionalism.

STRATEGIC PROJECT MANAGEMENT

EXECUTIVE PROJECT COORDINATION

  • Assist in coordinating strategic initiatives led by the Senior Pastor.
  • Track key projects, deadlines, deliverables, and follow-up items.
  • Monitor progress on assignments delegated by the Senior Pastor.
  • Capture and track action items resulting from meetings involving the Senior Pastor.
  • Coordinate follow-up with ministry and administrative leaders to ensure commitments, deadlines, and deliverables are completed.
  • Prepare executive summaries, briefing documents, and status reports.

BOARD, GOVERNANCE, AND COMMUNITY ENGAGEMENT SUPPORT

  • Coordinate materials, logistics, and communication related to board, advisory, and community leadership responsibilities.
  • Assist with preparation for educational, civic, and community meetings.
  • Maintain records and action items related to governance and external leadership commitments.

EVENTS AND ENGAGEMENT

SENIOR PASTOR EVENTS AND ENGAGEMENTS

  • Coordinate logistics for speaking engagements, conferences, community appearances, and special events involving the Senior Pastor.
  • Assist with the administrative preparation of presentations, teaching materials, and speaking engagements, including research coordination, document preparation, and distribution of materials as requested.Prepare briefing documents and event materials.
  • Serve as administrative liaison for event organizers and external partners.

CONGREGATIONAL CARE AND RELATIONSHIP MANAGEMENT

  • Maintain and strengthen strategic relationships with major donors, community leaders, ministry partners, elected officials, educational institutions, and church members through proactive communication, exceptional hospitality, and consistent follow-up.
  • Ensure appropriate follow-up and hospitality related to executive engagements and meetings.
Qualifications

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED FOR THIS POSITION

  • Bachelor's degree strongly preferred; an equivalent combination of education and progressively responsible executive administrative experience may be considered.
  • Minimum of 5 years of executive-level administrative support experience.
  • Experience supporting senior executives, pastors, CEOs, nonprofit leaders, or elected officials is strongly preferred.
  • Exceptional organizational, planning, and time-management skills.
  • Strong written, verbal, and interpersonal communication skills.
  • Demonstrated ability to interact professionally with executives, board members, elected officials, community leaders, donors, and church members.
  • Demonstrated ability to anticipate needs, exercise sound judgment, solve problems proactively, and manage multiple competing priorities with strong attention to detail in a high-capacity executive environment.
  • Advanced proficiency with Microsoft Office Suite, Google Workspace, and calendar management platforms; Working proficiency with AI productivity tools (such as Microsoft Copilot, ChatGPT, Claude, and similar platforms) to draft correspondence, summarize materials, and increase efficiency.
  • Demonstrated emotional intelligence, professionalism, and servant leadership.
  • Ability to work independently while exercising sound judgment and initiative.
