Job Description

The Administrative Business Partner will assist their assigned supervisor with the execution of assigned tasks, the production of timely and high-quality work products, and effective coordination with team members, as assigned or requested. The Administrative Business Partner will perform assigned responsibilities in a manner that reflects the Company's core values and promotes goal achievement through empowerment, learning, and creativity. This position will work closely with the Administration team to support the Disputes business unit and its associated practices.

Core ResponsibilitiesWork Product Creation, Project Management, Coordination with Team Members

Office Administration & Daily Operations

  • Serve as the primary point of contact for the Washington, DC, Virginia, and Chicago offices, including office-related questions, coordination, and communications.
  • Maintain office supplies, breakroom items, snacks, beverages, and general office needs for the DC and Virginia offices.
  • Maintain and update the Office Locations Guide.
  • Coordinate office schedules and ensure alignment with the corporate calendar.
  • Provide office administration support for the Washington, DC, Virginia, and Chicago offices, including periodic travel to Chicago, as needed, to support office operations, meetings, events, and team engagement activities.

Meetings, Events & Visitor Support

  • Organize meetings, conferences, seminars, lunches, client events, team outings, holiday parties, and other office events.
  • Coordinate conference room logistics, catering, visitor accommodations, and related meeting support.
  • Prepare FedEx and UPS shipments, shipping labels, envelopes, and other related shipping materials.

Facilities, Building Access & Tenant Coordination

  • Manage building access keycards and maintain current keycard holder records.
  • Coordinate the annual Certificate of Insurance (COI) renewal process with Legal and other appropriate internal stakeholders.
  • Serve as a point of contact for office vendors and coordinate with Purchasing, Operations, IT, and HR regarding office needs, scheduling, onboarding, offboarding, shipments, equipment, and related support requirements.

Practice Operations Support

  • Assist with conflict checks, Salesforce project setup, and related operational coordination.
  • Support new hire onboarding activities through coordination with IT, HR, and internal stakeholders.
  • Collaborate with Administration on hotel programs, travel arrangements, preferred rates, and other office-related needs.
  • Provide administrative support to Senior Managing Directors and Managing Directors, as needed.
Qualifications & Competencies
  • Requires a Bachelor’s degree and a minimum of 2 years of related experience; or an advanced degree without experience; or 5 years of related work experience in lieu of a degree.
  • Strong proficiency in Microsoft Office applications.
  • Experience with Salesforce and Workday is preferred.
Knowledge & Skills
  • Experience producing accurate, reliable, and high-quality work products.
  • Ability to communicate effectively, both verbally and in writing, with colleagues, supervisors, clients, subcontractors, and vendors.
  • Strong organizational, time management, and communication skills.
  • Strong analytical and problem-solving abilities.
  • Demonstrated self-awareness, professionalism, and flexibility in working with a variety of personalities and work styles.
  • Ability to manage multiple priorities and perform effectively in a fast-paced, high-demand environment.
  • Ability to exercise sound judgment, maintain confidentiality, and work independently with minimal supervision.

The pay range for this role is:

$54,000.00 - $149,000.00 USD annually (Geographical Tier A - Sample Locations: Irvine CA, Middlesex NJ, Tacoma WA, Boston, Alexandria)
$50,000.00 - $136,000.00 USD annually (Geographical Tier B - Sample Locations: Baltimore, Chicago, Anchorage, Portland)
