The Senior License, Permits, and Exemptions Specialist is responsible for managing the full lifecycle of business licenses, permits, and exemption certificates across multiple jurisdictions. This role ensures compliance with all federal, state, and local requirements, leverages Avalara for automated tax compliance and exemption management, and uses Salesforce to track workflows, requests, and documentation. The ideal candidate has a strong attention to detail, excellent organizational skills, and a proven ability to streamline processes to minimize compliance risk and audit exposure.

Responsibilities of the Senior License, Permits, and Exemptions Specialist include, but are not limited to:

Key Responsibilities

License & Permit Management

· Maintain an accurate inventory of all active business licenses and permits across locations and jurisdictions

· Coordinate new license applications, renewals, and amendments with internal teams and external agencies

· Track expiration dates and proactively initiate renewals to ensure uninterrupted compliance

· Ensure all license and permit records are properly stored and easily retrievable for audit purposes

Exemption Certificate Administration

· Oversee collection, validation, and maintenance of customer exemption certificates in compliance with state and local laws

· Utilize Avalara CertCapture to manage and monitor exemption documentation and automate renewal notifications

· Coordinate with sales and customer service teams to ensure exemption status is up to date before transactions are processed

Avalara System Administration

· Configure and maintain Avalara tax calculation, reporting, and CertCapture systems to support compliance efforts

· Troubleshoot tax calculation errors and work with IT/Finance to resolve data issues

· Generate compliance and audit reports from Avalara for internal and external review

Salesforce Process Integration

· Build and maintain Salesforce workflows for license, permit, and exemption requests

· Track status of approvals, escalations, and customer-facing communications within Salesforce

· Integrate Avalara and Salesforce data to improve accuracy and reduce duplicate work

Compliance & Audit Support

· Serve as primary contact for internal and external audits related to licensing, permitting, and exemptions

· Maintain detailed records to support compliance with state and local regulatory requirements

· Identify and address potential compliance risks proactively

Process Improvement & Reporting

· Develop SOPs and compliance checklists for license and exemption processes

· Create dashboards and reports to track renewal cycles, pending applications, and exemption expiration

· Recommend and implement automation or workflow improvements to reduce processing time


Qualifications of Senior License, Permits, and Exemptions Specialist include, but are not limited to:

Required

· 5+ years of experience managing business licenses, permits, and/or exemption certificates

· Proven experience using Avalara (including CertCapture) and Salesforce in a compliance or tax-related function

· Strong knowledge of federal, state, and local licensing and tax exemption requirements

· Excellent organizational skills and attention to detail

· Ability to manage multiple deadlines in a fast-paced environment

· Strong communication skills with cross-functional teams and external agencies

Preferred:

· Experience in retail, manufacturing, or multi-location business environments

· Familiarity with multi-jurisdictional tax compliance and nexus rules

· Intermediate to advanced Excel skills for compliance tracking and reporting
