Job description


The Executive Assistant to the President provides comprehensive executive-level administrative support to the President and serves as the primary coordinator of the President's Office. The Senior Executive Assistant manages the President's schedule, communications, travel, budget administration, and office operations while exercising confidentiality, independent judgment, discretion, and professionalism in support of the President's priorities and activities.
Essential Duties and Responsibilities
Executive Administration
  • Manage the President's calendar, appointments, meetings, speaking and community engagements.
  • Coordinate requests for the President's time and establish meeting priorities.
  • Arrange travel and prepare itineraries for the President.
  • Prepare and process expense reports and related documentation.
Board of Trustees, Executive Leadership Team and Cabinet
  • Assist members of the Board of Trustees by answering questions, directing them to the appropriate administrator, and scheduling Executive Committee meetings.
  • Attend all board meetings and prepare and distribute board agendas, materials, and supporting documentation.
  • Assist with three board of trustees meetings and management of OnBoard (board of trustees software platform).
  • Responsible for taking board minutes and drafting other board-related materials including agendas, resolutions, and letters of appreciation.
  • Supporting both the Executive Leadership Team and Cabinet in developing agendas, collecting documentation, taking minutes, posting agendas, and acting as event coordinator for meetings and retreats.
Communications and Correspondence
  • Draft, edit, and coordinate presidential correspondence, reports, presentations, and communications.
  • Manage incoming and outgoing communications on behalf of the President.
  • Review materials prepared for the President's signature to ensure quality, completeness, and accuracy.
  • Serve as a liaison between the President's Office and internal and external constituents.
Research and Special Projects
  • Conduct research and prepare briefing materials, reports, and background information as requested by the President.
  • Support presidential initiatives and special projects.
  • Develop and implement systems that increase efficiency within the President's Office.
Office Administration and Budget
  • Oversee daily administrative operations of the President's Office.
  • Maintain office files, records, and correspondence.
  • Manage receipts, p-card reconciliations and approvals, memberships, subscriptions, invoices, and reimbursements.
  • Welcome and assist visitors to the President's Office.
Other Duties
  • Contributes to the overall success of the College by undertaking special projects and other essential duties and responsibilities as assigned by the President.
Requirements:
  • High school diploma required; an associate or bachelor's degree preferred
  • Three to seven years of dedicated experience supporting C-suite or senior executives
  • Advanced computer literacy: Microsoft Office Suite, cloud systems, and virtual meeting tools
  • Discretion: Proven capacity to maintain absolute confidentiality
  • Communication: Exceptional written and verbal communication skills
  • Problem-solving: Strong independent decision-making and project coordination
