Senior Accounting & Financial Operations Specialist

PMI Management, LLC

Position Summary

PMI Management is seeking a highly organized, detail-oriented Senior Accounting & Financial Operations Specialist to support the financial, operational, and administrative functions of a private real estate investment and asset management company.

This position is responsible for financial reporting, cash management, accounting oversight, budgeting, banking coordination, regulatory compliance, executive support, and general office administration. The ideal candidate has strong accounting experience, excellent analytical skills, and the ability to manage multiple priorities in a fast-paced environment.

The successful candidate must have experience working with Yardi, possess advanced Microsoft Excel skills, and be proficient in the Microsoft Office Suite.


Required Qualifications

Required Experience

  • Minimum 5 years of accounting or financial management experience
  • Experience with real estate, property management,commercial or multifamily housing
  • Yardi Voyager experience required
  • Advanced Microsoft Excel skills (Pivot Tables, VLOOKUP/XLOOKUP, formulas, financial reporting)
  • Proficient in Microsoft Office (Word, Outlook, PowerPoint)
  • Experience with bank reconciliations and financial reporting
  • Strong organizational and analytical skills
  • Excellent written and verbal communication skills
  • Ability to maintain strict confidentiality
  • Ability to prioritize multiple projects while meeting deadlines


Primary Responsibilities

Accounting & Cash Management

  • Prepare and review cash position reports
  • Monitor cash flow and provide recommendations
  • Review bank reconciliations
  • Reconcile bank accounts and credit cards
  • Review accounts payable and accounts receivable
  • Monitor intercompany transfers
  • Prepare financial summaries and supporting schedules
  • Review purchase orders and payment requests
  • Assist with cash forecasting


Financial Reporting & Budgeting

  • Prepare monthly, quarterly, and annual financial reports
  • Perform monthly variance analysis
  • Prepare quarterly cash flow analysis
  • Assist in preparing annual operating budgets
  • Analyze financial performance and recommend corrective actions
  • Prepare owner reporting packages
  • Prepare lender reporting packages
  • Assist Asset Manager with reviewing third-party property management financial statements
  • Monitor budget-to-actual variances


Tax & Regulatory Compliance

  • Coordinate year-end tax reporting
  • Prepare financial information for CPA firms
  • Review 1099 reporting
  • Monitor Secretary of State filings
  • Track insurance renewals
  • Monitor business licenses
  • Track property tax payments
  • Ensure regulatory deadlines are met


Banking & Financial Administration

  • Coordinate with banking institutions
  • Prepare lender reporting packages
  • Monitor banking transactions
  • Review cash transfers
  • Maintain banking records


Property Management Support

  • Review vendor invoices
  • Process invoices through Yardi and Avid
  • Review construction draw requests
  • Track capital project expenditures

Payroll & Benefits Administration

  • Coordinate with the Professional Employer Organization (PEO)
