Job Summary

Lion Intelligence & Security Services, Inc. is seeking a reliable, energetic, organized, and professional Front Desk Receptionist / Administrative Assistant to manage our front office and provide administrative support to management.

The ideal candidate will be responsible for opening the office on time each business day, welcoming clients and visitors, answering telephone calls, maintaining company records, scheduling appointments, and assisting with general administrative duties.

Because this position serves as the first point of contact for our company, the successful candidate must demonstrate professionalism, punctuality, excellent communication skills, confidentiality, and outstanding customer service.

Duties & Responsibilities

  • Open the office on time every Monday through Friday and maintain regular office coverage from 10:00 AM to 5:00 PM.
  • Greet visitors, clients, applicants, vendors, and business partners in a friendly and professional manner.
  • Answer multi-line telephone systems promptly and professionally and direct calls to the appropriate person or department.
  • Take accurate telephone messages and ensure they are delivered promptly.
  • Manage appointments, calendars, and meeting schedules for management and staff.
  • Maintain organized digital and physical filing systems to ensure documents and records can be easily located.
  • Perform accurate data entry using spreadsheets, databases, and company management systems.
  • Prepare, type, format, and proofread letters, reports, correspondence, and other documents using Microsoft Word.
  • Assist with Microsoft Excel spreadsheets and other administrative records.
  • Receive, organize, and distribute incoming mail, packages, and correspondence.
  • Monitor office supplies and notify management when additional supplies are needed.
  • Assist with invoices and basic financial recordkeeping using QuickBooks or similar software, when necessary.
  • Maintain a clean, organized, and professional front-office environment.
  • Protect confidential company, employee, applicant, and client information.
  • Provide administrative and personal-assistant support to management when required.
  • Perform other reasonable administrative and clerical duties as assigned.

Qualifications & Skills

  • Previous experience as a Front Desk Receptionist, Administrative Assistant, Office Assistant, Personal Assistant, or similar position is preferred.
  • Strong organizational and office-management skills.
  • Excellent customer service and interpersonal skills.
  • Professional telephone etiquette and clear verbal communication.
  • Strong written communication and proofreading abilities.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Strong computer skills, including typing and accurate data entry.
  • Experience operating multi-line telephone systems.
  • Ability to organize digital and physical records.
  • Strong time-management skills and the ability to prioritize multiple responsibilities.
  • Ability to work independently with limited supervision.
  • Must be dependable, punctual, trustworthy, respectful, and professional.
  • Experience with QuickBooks or similar accounting software is a plus.
  • Previous administrative or personal-assistant experience demonstrating reliability and professionalism is highly desirable.

Independent Contractor / Self-Employed Position

Important: This opportunity is structured as a self-employed / independent contractor position and does not include employee benefits.
