We are currently seeking a Facilities & Security Manager who will play a critical role in maintaining and enhancing our provincial infrastructure while ensuring compliance, safety, and continuity in a fast-paced and meaningful healthcare environment.

The Facilities and Security Manager is responsible for the day-to-day oversight, coordination, and standardization of facilities operations and security systems across a multi-site provincial network. Reporting to the Senior Manager of Facilities, Security, and Environmental Services, this role serves as a primary operational contact for branches, supporting timely resolution of facilities and security issues, coordinated vendor response, access control, branch training, and consistent service delivery.

This position will work with operations leadership to ensure adherence to lease terms and manage landlord relationships. This position is responsible for the management of building and equipment maintenance schedules, implementation, testing and maintenance of building security systems and in coordination with business and emergency planning, ensuring all facilities related business continuity & emergency plans are kept up to date in compliance with enacted legislation and ensure annual reviews and drills are performed and reported. This position will also assist in ensuring the Company remains in compliance with all building codes, Occupational Health and Safety, Accessibility for Ontarians with Disabilities Act and the Ontario Fire Code along with any additional applicable legislation.

This position will be providing support to our provincial offices and clinics, travel across the province will be required. This position will have in-office requirements based out of our Waterloo, ON corporate office.

What The Role Involves

As the Facilities & Security Manager, you will:

  • Act as the primary facilities and security contact for assigned branches, providing customer service, issue triage, troubleshooting support, and escalation coordination, while building strong partnerships with operational teams and demonstrating a responsive, customer-service focused approach to ensure commitments are followed through to completion.

  • Coordinate security system installations, rollouts, maintenance, and troubleshooting in partnership with approved vendors, and collaborate with CarePartners Shared Services, including Information Technology, to ensure reliable network connectivity at all locations and during relocations, renovations, and new site setups.

  • Coordinate training with vendors and branch operations on the use of security systems, alarm response processes, and local FOB management expectations, promoting collaboration, transparency, and consistent security practices across the organization.

  • Support the development and maintenance of a centralized FOB management process, including access tracking, activation, deactivation, onboarding, and offboarding practices.

  • Monitor compliance with security operating practices and report non-compliance, risks, or recurring issues to the Senior Manager.

  • Coordinate alert response and escalation pathways involving Operations Managers, Regional Directors, Facilities and Security leadership, and the Senior Manager as required, ensuring effective communication and timely information sharing between Shared Services and operational teams.

  • Support day-to-day facilities requests through the ticketing or work order system, ensuring appropriate prioritization, follow-up, and completion of assigned tasks that are approved within budget and/or scope of work, while establishing regular touchpoints with operational teams to monitor progress, gather feedback, identify risks, and address concerns before they escalate.

  • Establish and maintain a network of approved external vendors across the province to ensure timely response to facility needs and costs are contained for facilities and maintenance requests.

  • Liaise with landlords, vendors, contractors, and internal operations to support timely facilities repairs, maintenance, service calls, and minor site improvements, actively engaging with operational teams to understand local challenges, priorities, and opportunities and incorporating frontline perspectives into planning and decision-making.

  • Oversee and manage renovations including but not limited to quote process, legislation compliance, management of budget, workers and other professionals.

  • Serve as a liaison between company employees and outside vendors, contractors, and landlords, facilitating effective communication and collaboration to support organizational objectives and operational needs.

  • Manage relationships with external landlords for leased properties, including maintaining an active listing of all properties, ownership information, and FAQ for lease terms.

  • Negotiation and review of new leases and lease renewals including maintenance of accurate details of lease expiries and rate changes as well as maintain a list of items to highlight during negotiation (i.e. HVAC replacement, lighting fixtures, etc.)

  • Check functionality of safety systems (e.g. fire alarm), ensuring regular review of applicable legislation or requirements, and support the necessary updates to ensure compliance (i.e. Fire Code)

  • Work collaboratively with the Senior Manager and cross-trained peers to ensure provincial coverage and continuity during absences, periods of organizational change, disruptions, or peak operational demand, providing practical support, regular updates, and clear direction to operational teams.

  • Other related duties and required or assigned.

What You Bring
  • Post-secondary education in facilities management, property management, security management, business administration, or a related field, or equivalent combination of education and experience.
  • Experience in facilities operations, renovations/relocations/construction projects, security systems administration, access control, branch support, vendor coordination, or multi-site service delivery.
  • 3 to 5 years of leadership experience in a public-sector setting.
  • Experience working with both the federal and provincial health system is considered an asset.
  • Experience working in a unionized environment is considered an asset.
  • Ability to develop business cases and costing (i.e. project budgets) to support project work (i.e. moves, renovations, etc.)
  • Ability to work within a priority-based system where critical thinking and decision making is required to meet timelines and established work plans
  • Experience working with external vendors, contractors, landlords, and internal operational partners.
  • Ability to occasionally work outside of regular business hours
  • Ability to prepare and deliver presentations to individuals and groups
  • Knowledge of HVAC, plumbing and electrical systems.
  • Hands-on experience utilizing hand tools and equipment to support facility move or renovations projects (i.e. including but not limited to use of hand tools / moving equipment and/or completing equipment installs or minor repairs to offices spaces).
  • Knowledge of health and safety, environmental and infection control standards
  • Demonstrated strong communication and interpersonal skills
