Local Candidates Only - Onsite 13-week contract Required Qualifications: Must have a High School Diploma or GED. Minimum of 3 years of experience in an Executive Secretary or Executive Administrative Assistant role. Prior hospital or healthcare environment experience strongly preferred. Experience supporting executives, leaders, or department level teams in a fast paced environment.
Job Summary: This position is the receptionist for the department, and is responsible for preparation of patient care orientation packets, and for the registration, participant confirmation and preparation for a some of the workshops offered by the Education Department and other activities of a clerical nature. Job Responsibilities: -15% Registrar for most internal programs including copying of checks and sending confirmations as appropriate, and copies participant packets for these programs. -20% Copies, or prepares for sending to a printing company, patient care orientation packets including the orientation manuals, skills packets, computer orientation packets, etc. -5% Inventories and orders office supplies for the department. -5% Provides back up for the senior secretary and office manager. -5% Updates CPR records in the Education Access Database -50% Greets visitors and answers the telephone, directs calls, takes messages and handles calls in a professional manner.
This position serves as the administrative coordinator for the Research Institute Team (RIT), providing comprehensive scheduling, event coordination, and clerical support. The role is responsible for organizing onboarding and educational activities, managing calendars, coordinating logistics for trainings and events, and supporting day-to-day administrative functions for the research department.
Job Responsibilities:

  • 30% Coordinate and manage scheduling for RIT activities, including onboarding sessions, trainings, meetings, and educational events; maintain calendars and ensure alignment across stakeholders.
  • 25% Organize and support onboarding and education programs, including participant registration, confirmation communications, materials preparation, and event logistics.
  • 20% Provide administrative support for departmental initiatives, including preparing documents, tracking attendance, maintaining records, and assisting with reporting needs. Coordinate event logistics such as room reservations, catering, materials, and technology setup for workshops and training sessions.
  • 10% Maintain onboarding and education materials, including preparing packets, updating content, and coordinating printing as needed.
  • 10% Manage office supplies and ensure readiness of materials for departmental activities.
  • 5% Serve as a point of contact for visitors and internal inquiries, providing professional communication and support as needed.
    Skills:
    Required Skills & Experience: -At least three (3) years of office experience. -Experience in operating various office equipment/machines (copier, fax). -Excellent organizational skills. -Typing skills of 60 wpm. Preferred Skills & Experience: -At least three (3) years of computer experience, Microsoft Word, Excel, and Access.
    At least three years of experience in an administrative, secretarial, or office support role, with demonstrated experience supporting scheduling, calendar coordination, meeting logistics, and event planning. The ideal candidate will have strong organizational skills and the ability to manage multiple priorities, maintain accurate records, and meet deadlines. Excellent written and verbal communication skills are essential, along with the ability to interact professionally with staff, leaders, and visitors. The position also requires proficiency with standard office technology and equipment, including copiers, printers, scanners, and phone systems, as well as strong computer skills in Microsoft Office applications such as Word, Excel, and Outlook. In addition, the candidate must be able to handle sensitive or confidential information with professionalism and discretion.
