Assistant Community Manager

Property: The Domain at Waco - Student Housing Location: Waco, TX Reports To: Community Manager Status: Full-Time, Non-Exempt Schedule: Monday-Friday, with rotating weekend and extended hours during pre-lease season, turn, and move-in

Position Summary

The Assistant Community Manager supports the Community Manager in the day-to-day operation of a by-the-bed student housing community serving Baylor University students. This role owns the financial side of the office - rent collection, delinquency, resident ledgers, and reporting - while also carrying a leasing goal and serving as the second-in-command when the Community Manager is off-site.

Success in this role looks like clean books, low delinquency, a full property, and residents (and their guarantors) who feel taken care of.

Key ResponsibilitiesFinancial & Administrative
  • Post rent payments, process daily deposits, and maintain accurate resident ledgers
  • Manage the delinquency process end to end: notices, payment plans, guarantor outreach, and coordination with legal counsel on evictions
  • Prepare and review weekly and monthly reports (occupancy, pre-lease, delinquency, variance)
  • Assist with invoice coding, purchase orders, and budget tracking
  • Complete move-in and move-out accounting, including security deposit dispositions and damage billing
  • Maintain accurate resident files in compliance with company policy and Fair Housing law
Leasing & Marketing
  • Carry an individual leasing and renewal goal during pre-lease season
  • Conduct tours, follow up on leads, and close applications for by-the-bed leases
  • Manage the application-to-lease pipeline: guarantor verification, income/credit screening, lease generation, and signature collection
  • Support roommate matching and unit assignments
  • Execute renewal campaigns and outreach and marketing events on and around campus
  • Assist with social media content, resident referral programs, and competitor market surveys
Resident Relations
  • Serve as an escalation point for resident and parent/guarantor concerns; resolve issues promptly and document outcomes
  • Coordinate resident events and community programming
  • Support lease violation documentation and conflict resolution between roommates
  • Maintain a visible, approachable presence in the leasing office and community
Operations & Team Support
  • Assist with the annual turn: unit inspections, vendor scheduling, punch walks, and move-in readiness
  • Help hire, train, and schedule Community Assistants and leasing staff
  • Assume Community Manager duties in their absence
  • Participate in the on-call rotation for after-hours emergencies
  • Walk the property regularly to identify curb appeal, safety, and maintenance issues
Qualifications

Required

  • High school diploma or equivalent
  • 1+ years of experience in property management, leasing, hospitality, retail, or a comparable customer-facing role
  • Strong math and attention to detail; comfort with ledgers, spreadsheets, and reconciliation
  • Excellent written and verbal communication skills
  • Ability to work weekends and extended hours during peak seasons (pre-lease, turn, move-in)
  • Valid driver's license and reliable transportation

Preferred

  • Prior student housing experience, particularly with by-the-bed leasing and guarantor-backed leases
  • Working knowledge of Entrata, RealPage, or comparable property management software
  • Familiarity with Texas landlord-tenant law and Fair Housing requirements
  • Bilingual (English/Spanish)
Competencies

  • Composure - handles upset residents and parents without escalating
  • Follow-through - closes loops on maintenance requests, applications, and collections
  • Team orientation - willing to jump on a tour, walk a unit, or cover the desk
Physical Requirements

Must be able to walk the property multiple times daily, including stairs; occasionally lift up to 25 lbs; sit or stand for extended periods; and work outdoors in Texas heat during turn and outreach events.
