Job Description

Union County is seeking a dependable, customer-focused Part-Time Seasonal Administrative Assistant to assist the Elections Office during the County's busiest election periods. This is an excellent opportunity for individuals looking for meaningful seasonal work while helping ensure fair, accurate, and successful elections.

Seasonal Schedule

This position is primarily needed during periods of increased election activity:

  • Spring Primary Election: March through June
  • Fall General Election: September through December

Most work is conducted between the hours of Monday through Friday, 8:00 a.m. to 4:30 p.m. However, the successful candidate must be available to work:

  • 5:30 a.m. to 9:30 p.m. on Election Day
  • Two Saturday mornings and two evenings for two – three hours for Poll Worker training each election
  • Additional hours during larger election cycles, such as Presidential Elections, when workload demands increase

Actual schedules and hours may vary depending on the type of election and operational needs of the Elections Office.

Position Summary

The Part-Time Seasonal Administrative Assistant provides clerical and administrative support to the Union County Elections Office during peak election periods. The position plays an important role in serving the public, including, but not limited to, assisting poll workers, preparing election materials, maintaining records, and supporting the overall administration of elections.

Essential Duties

  • Provide exceptional customer service to members of the public, candidates, and poll workers.
  • Answer telephones and respond to inquiries professionally and courteously.
  • Assist with election preparation and administrative tasks.
  • Prepare, organize, and maintain election-related records and documents.
  • Enter and maintain information using computer software and databases.
  • Assist with Poll Worker School preparation and coordination.
  • Prepare and distribute election supplies and materials.
  • Assist with packing, moving, and organizing election equipment and supplies.
  • Perform filing, copying, scanning, and other clerical duties.
  • Perform other related duties as assigned.

Minimum Qualifications

  • High school diploma or GED.
  • Two (2) years of clerical or administrative experience; or
  • Any equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities.

Successful candidates will possess:

  • Strong customer service and interpersonal skills.
  • Basic computer proficiency, including Microsoft Office applications.
  • Strong organizational skills and attention to detail.
  • Ability to work accurately under deadlines.
  • Ability to communicate effectively with the public and coworkers.
  • Ability to maintain confidentiality.
  • Ability to work independently and as part of a team.
  • Ability to lift and move materials weighing approximately 25 to 50 pounds.
