With a rich history dating back to 1908, Casa de Fruta continues to welcome visitors through its famous fruit stand, wine tasting, deli, sweet shop, burrito bar, restaurant, and fueling services at our Chevron station.

Our hospitality offerings include comfortable lodging accommodations through our RV Park, Inn, and Cabins, providing guests with opportunities to stay, celebrate, gather, and create memorable experiences. As we continue to grow our destination offerings, we are focused on expanding events and experiences that showcase all Casa de Fruta has to offer. We are seeking a motivated and highly organized Catering & Events Coordinator to lead the planning, coordination, and execution of events throughout the property while supporting our guest experiences.

Position Purpose

The Catering & Events Coordinator is responsible for developing, coordinating, and executing memorable events and experiences throughout Casa de Fruta. This position serves as the primary point of contact for event inquiries and manages the complete event process from initial guest contact through successful completion and follow-up. The Catering & Events Coordinator will identify opportunities to grow Casa de Fruta's event business, with a strong emphasis on expanding events within our Accommodations area, including lodging-based experiences, private gatherings, corporate events, celebrations, retreats, and other destination-focused opportunities. This position will also oversee seasonal special events, such as holiday events. This role requires strong hospitality, sales, organizational, and relationship-building skills while collaborating with internal departments to ensure seamless execution and exceptional guest experiences.

Responsibilities/Duties/Functions/Tasks

Event Management & Business Development

Serve as the primary contact for all event inquiries at Casa de Fruta, responding promptly and professionally to prospective guests.

Develop, coordinate, and manage events from initial inquiry through completion, including:

o Client communication and consultation

o Event proposals and planning

o Scheduling and timelines

o Vendor coordination

o Internal department communication

o Event setup and execution

o Post-event follow-up

Identify and develop new event opportunities to increase revenue and utilization of Casa de Fruta's facilities and accommodations.

Create and promote event packages that showcase Casa de Fruta as a destination for celebrations, meetings, retreats, and overnight experiences.

Partner with the Accommodations team to develop lodging-focused events and experiences that increase occupancy and guest engagement.

Coordinate with Restaurant, Wine & Deli, Engineering, Housekeeping, and other departments to ensure successful event execution.

Maintain event calendars, documentation, contracts, budgets, and guest records.

Track event performance, revenue opportunities, guest feedback, and areas for improvement.

Build strong relationships with guests, businesses, community partners, and event professionals to generate repeat business and referrals.

Event Experience Development

Create engaging experiences that combine Casa de Fruta's unique offerings, including wine, dining, accommodations, and destination amenities.

Collaborate with marketing to support promotional efforts, event campaigns, and customer outreach.

Assist in developing seasonal events, community events, and revenue-generating experiences.

Evaluate event success and recommend improvements for future opportunities.

Sales, Reporting & Collaboration

Maintain accurate records of event inquiries, bookings, revenue, and customer interactions.

Provide regular updates and reporting regarding event performance and future opportunities.

Collaborate with leadership and department managers to identify opportunities for growth.

Support special projects and initiatives as needed.

Qualifications

Minimum of 3-5 years of experience in event coordination, hospitality management, sales, customer experience, or a related field.

Proven experience planning, coordinating, and executing events from concept through completion.

Strong organizational skills with the ability to manage multiple events and priorities simultaneously.

Excellent communication, customer service, and relationship-building skills.

Demonstrated ability to generate sales opportunities and build client relationships.

Strong attention to detail and ability to manage timelines, budgets, and logistics.

Passion for hospitality, creating memorable experiences, and representing a destination brand.

Ability to work independently while collaborating effectively with multiple departments.

Scheduling Requirements

Flexible availability, including weekends, holidays, and evenings, especially for scheduled events.

Ability to adjust schedule based on event needs and guest commitments.

Preferred Qualifications

Experience in hospitality, resort, or destination-based event environments.

Experience developing corporate events, retreats, weddings, private celebrations, or group experiences.

Experience with event management software, CRM systems, or hospitality platforms.
