Job description

Overview /Objective 

The Production Budgeting and Management Department at NFL Films is seeking a 7-month Seasonal Post-Production Project Coordinator.  The Coordinator will assist Project Managers, specifically with league marketing campaign work. This includes being an available resource to help with day-to-day operations of the department as it relates to NFL Marketing projects. The Project Coordinator will assist with actualizing and handle other administrative functions as needed. 

Responsibilities 

  • Support the Project Managers specifically with League Marketing Campaign and communicate to all relevant departments in regards-to budgeting, actualizing and post-production. 
  • Review, Code, Authorize and submit to accounting all Invoices, Timecards and Expenses applicable to the assigned projects. 
  • Manage assigned projects through to final billing 
  • Keep detailed records of assigned projects 
  • Assist Project Managers with staying current with actualizing 
  • Process paperwork and assist in the creation of a digital wrap binder 
  • Manage and track incoming client requests to ensure timely routing and follow-through.  
  • Coordinate creative and technical requests across internal teams (e.g., Scheduling, Engineering, Editors) to keep work moving. 
  • Supervise post sessions (virtual and in person) and resolve day-of issues as they arise. 
  • Partner with Producers/Project Managers to flag scope changes early and align on next steps. 
  • Work with Scheduling to add or adjust shifts and confirm staff are routed prior to sessions. 
  • Quality-check (QC) deliverable links and share final materials with clients. 
  • Maintain and continuously update production calendars, schedules, and related documentation. 
  • Maintain and organize project documents and creative assets (briefs, working docs, etc.) and review work prior to client sharing. 
  • Provide clear client and project management status updates, including timelines/ETAs and resourcing needs. 
  • Document details in work orders and confirm any potential budget impact with project managers before changes are finalized. 
  • Support Scheduling with importing work orders on a regular cadence (e.g., daily or every other day). 
  • Assist project managers with additional tasks as needed. 

Required Qualifications 

  • College Degree-BA or BS in a Media related or business or Project Management program 
  • 1-2 years professional office experience 
  • Extremely proficient in MS Office products, especially Excel and Teams 
  • Must have exceptional organizational, communication, judgment, and interpersonal skills 
  • Experience with budgeting and planning/scheduling and managing of projects 
  • Client handling experience 
  • A strong ability to multi-task and detail oriented 
  • Ability to maintain the highest level of confidentiality  

Preferred Qualifications 

  • 1-3 years of Production and Post-Production experience 

Other Key Attributes / Characteristics 

The candidate should be a self-starter with strong communication skills.  The candidate should also be able to keep all relevant parties informed on the status of their project or tasks daily. The Project Coordinator will need to demonstrate extremely strong organizational skills and maintain meticulous records of all their projects and assist the Project Managers with their records.  The ability to multi-task and take direction is key to the success of this role.
