The Service Writer is responsible for scheduling and coordinating all service work and parts order entry for machine repairs in a manner that reflects the company's vision of working as "One Professional Team" while also managing all related work order and paperwork responsibilities. Where applicable, guides the work of the Service Clerk(s).
Pay Rate: $26.08-$32.00 per hour.
Pay rate is dependent upon education & experience.
Essential Functions:

  • Greets customers and gathers detailed information about equipment issues and service needs
  • Creates, updates and manages work orders with accurate descriptions and labor estimates
  • Collaborates with Shop Leads to create service estimates for customers and obtains approvals prior to beginning work
  • Handles all incoming calls pertaining to scheduling of shop work, and information concerning customer inquiries for all shop related areas
  • Communicates repair timelines, costs, and updates to customers
  • Coordinates with shop leads to ensure efficient workflow and proper job prioritization
  • Sources and orders parts when needed, working closely with vendors and internal parts department
  • Reviews completed work orders for accuracy, including labor, parts and billing details
  • Processes invoices and handles customer payments when required
  • Maintains service records and ensures documentation is complete and organized
  • Schedules service appointments and assists in managing shop workload
  • Addresses customer concerns and resolves issues in a professional manner
  • Other duties as assigned by manager

Supervisory Responsibilities:
  • Directs Service Clerk in clerical functions where applicable
  • Provides input into the annual Performance Reviews

Required Education and Experience:
  • High School Diploma or GED
  • 3+ years administrative/clerical experience
  • 3+ years customer service experience
  • 1+ years supervisory/management experience

Physical Demands & Competencies:
  • Standing, walking, talking, sitting, use of hands & hearing
  • Sedentary work that primarily involves sitting/standing but may require occasionally lifting and/or moving up to 25 pounds
  • Data Entry, telephone, reading/writing, reasoning, organizational, communication & math skills
  • Safety & Product Knowledge
  • Ability to direct the work of others
  • Ability to work in a fast-paced environment
  • Warranty training/knowledge
  • Basic knowledge of Microsoft Word and Outlook
  • Basic knowledge of DBS
  • Basic knowledge of SIMSI
