Responsibilities

Job Summary

 

The Clinic Assistant Level 1 provides essential administrative and operational support to clinical staff and physicians. Team members in this role perform the core duties of the administrative support, including patient check-in/out, appointment scheduling, intake messages, effective communication with physicians, nurses, physicians’ assistants and POD teammates. This position plays a key role in ensuring a smooth, efficient, and patient-friendly environment.

Essential Functions & Job duties

 

  • Comply with HIPAA confidentiality standards when handling patient information.
  • Collaborate with POD teammates to ensure smooth clinic operations and excellent patient care.
  • Support POD Team by creating an efficient and cohesive team.
  • Greet patients and visitors courteously and assist them in a prompt and professional manner.
  • Escort patients to exam rooms and gather basic medical history and chief complaints.
  • Accurately document patient data and provider instructions in the EMR.
  • Assist in preparing exam rooms, maintaining cleanliness, and restocking supplies.
  • Follow infection control and safety procedures per OSHA standards.
  • Support clinical workflows by coordinating communication between providers, departments, and surgical facilities.
  • Chart preparation that includes pre and post clinic visits, insurance preparation, PCP collaboration.
  • Assist with patient check-out, including scheduling follow-ups and printing instructions and education materials.
  • Schedule appointments and respond to patient inquiries in person, via phone, or through the patient portal.
  • Triage messages, route clinical questions appropriately, and support pre-appointment documentation as needed.
  • Review physician schedules and ensure accurate, timely updates.
  • Compliance with policies and procedures and actively promote a collaborative clinic culture.
  • Perform other duties as assigned.

Qualifications

Education:   High School Diploma or equivalent.

Experience: Minimum of two years’ office experience, ideally in a clinical setting with EMR.
