Summary: This individual will be responsible for the presentation & management of the Sales Office and Model Gallery plus the coordination of Sales Office administrative duties. This position is also responsible for coordinating all local marketing efforts and programs including but not limited to on site events, collateral and directional/community signage by working closely with the Regional Marketing Coordinator (RMC).
Essential Duties and Responsibilities:
  • Confirm that all Sales Office facilities, equipment, and technology are fully functioning and clean at all times.
  • Ensure that the Sales Office stay neat and presentable throughout each day.
    • This includes merchandising in SC and model homes: displays, posters, free-standing brochures maintained in an organized and visually appealing way
  • Receive and distribute mail (postal, interoffice and e-mail).
  • Ensure community collateral packets are available for disbursement to meet needs based on guest traffic.
  • Review and coding of marketing invoices are complete and submitted to Sales Manager for approval.
  • Screen, direct, and/or handle incoming calls correspondence, and e-mail to ensure that requests are handled effectively.
  • Distribute information to staff regarding policies, procedures, meeting schedules, etc. Keep them informed of promo schedules and materials, advertising schedule and email and social media calendars.
  • Attend all sales meetings and monthly marketing meetings to keep abreast of current information and report on marketing activity.
  • Attend seminars and classes related to the sales and marketing.
  • Coordinate temporary off-site signage, including weekend bootlegs, directional, and permanent or municipal signs.
  • Coordinate permanent on-site signage, including monuments directionals, identifiers.
  • Coordinate with club team leaders on opportunities for joint marketing events, oversee and help coordinate photography and collateral materials, mailings, etc. for these entities.
  • Coordinate getting photos, videos and descriptions/post-reports on community events from Club staff to Social Media Partner
  • Participate in initiation, development and approval of printed marketing materials, including advertising, DM, EM and collateral working closely with RMC.
  • Responsible for implementing and maintaining an inventory system for managing collateral needs. Work with RMC and Creative Services Group to ensure proper lead times for efficient printing. Work with sales team to ensure they have the tools they need.
  • Update and maintain information on www.sheahomes.com & www.trilogylife.com including the updating of model pricing whenever there is a base price change. Requires training in e-Manager system. Also responsible for checking that Designer Home pricing on the web site matches SalesForce pricing and incentives.
  • Coordinate and execute an Ambassador program with select Members to enhance Guest experience in high-traffic periods and at events
  • Maintain relationships with Central Services Sales and Marketing Team, RMC, CSG, promotional product vendors and others who provide marketing materials.
  • Coordinate production of marketing materials and accessories like mats, napkins, cups, water bottles etc.
  • Along with Sales Manager, maintain Sales & Marketing budget, complete monthly budget review.
  • Coordinate marketing focus groups and design reviews as needed in conjunction with Director of Consumer Research.
  • In start-up locations, coordinate the scheduling and execution of Trilogy Living Vision sessions throughout the pre-opening time frame working closely with the RMC
  • Coordinate competition sharing programs, compile and distribute monthly report of competitive marketing data. Coordinate sales team trainings, seminars and team building events.
  • Compile and report sales and marketing data for weekly report to Central Services Sales & Marketing leaders
  • Compile and report sales and marketing data for monthly Business Operating Measurements.
  • Plan and execute effective marketing special events to attract traffic as a high business priority. This requires creativity, attention to detail and strong follow through. Event schedules to be developed on an annual basis and tracked as campaigns through SalesForce.com. This also includes identifying BlueStar managed events that can be used to create return Guest visits for Sales. Communications for events to be developed working with the RMC
  • Assist with outbound calling campaigns.
  • Create and maintain SharePoint filing systems and records for all marketing campaigns and reports.
  • Work with vendors to ensure an appropriate vendor contract is set in place for all jobs (ie: model cleaning)
  • Work with appropriate team members and with Alpha-Vision to ensure floor plans are always correct and up to date on collateral and website.
  • Coordinate the execution, scheduling and tracking of the Taste the Good Life try before you buy program and/or Day Pass program where applicable. Communications for the program to be developed working with the RMC

Knowledge/Experience:
  • Bachelor's degree or equivalent combination of education and experience preferred
  • Previous experience in a continuous improvement environment a plus
  • Marketing and Event background preferred.
  • Knowledge of the home building and real estate industries a plus, but not required
  • Real Estate license a plus, but not required
  • Weekend and Holiday hours required (key in a successful sales environment)
