Position Title: Executive Administrative Assistant
Pay: $15/hr
Location: Albany, GA (In-Person, Procurement Division, Finance Department)

Position Overview
The Finance Department is seeking a sharp, discreet, and highly organized Executive Administrative Assistant, This is not a general clerical role. The right candidate manages competing priorities under pressure, exercises sound judgment with confidential information, and represents the executive office professionally in every interaction, internal and external.
Key Responsibilities
Executive Office Support
  • Manage and prioritize the VPFA's calendar, resolve scheduling conflicts, and protect time for focused work
  • Draft, proofread, and finalize executive correspondence, memos, and presentation materials with zero tolerance for errors
  • Coordinate travel logistics and detailed itineraries
  • Serve as the primary point of contact between the VPFA's office and university leadership, USG system offices, vendors, and external partners

Meeting & Event Coordination
  • Organize finance meetings, USG sessions, and committee events end to end
  • Prepare agendas and materials, take accurate minutes, and distribute on schedule
  • Manage event logistics: venue, AV, catering, and budget tracking
  • Prepare and process purchase requests

Fiscal & Budget Support
  • Assist with budget tracking, financial data compilation, and report preparation
  • Support fiscal planning cycles and ensure documentation is submitted on time, every time

Records & Reporting
  • Maintain confidential digital and physical records in full compliance with institutional policy
  • Collect, analyze, and summarize data for leadership reporting
  • Assist in preparing submissions to executive leadership and the University System of Georgia

Team & Operational Support
  • Coordinate with administrative staff across divisions to keep workflows aligned
  • Provide direction to student workers and temporary staff in the VPFA's office

Required Qualifications
  • Minimum 5 years of executive-level administrative experience (higher education or fiscal affairs strongly preferred)
  • Demonstrated command of Microsoft Office, especially Excel (pivot tables, basic formulas) and PowerPoint - not just familiarity, actual working proficiency
  • Track record of handling confidential or sensitive information without lapses
  • Strong written communication; candidates should expect a writing/proofreading sample during screening
  • Comfortable working on-site full time in Albany, GA.

Preferred Qualifications
  • Bachelor's degree or advanced administrative/business certification
  • Prior experience directly supporting C-suite or VP-level leadership in a university or public sector setting
  • Familiarity with university financial systems or USG reporting processes
