Job description


The Enrollment & Operations Specialist is a dynamic, year-round role that bridges family recruitment and school operations at Rooted School. During peak recruitment season, this position leads all student outreach, application management, and family engagement activities to meet enrollment goals. Outside of peak recruitment, this role transitions into a critical operational function — serving as the school's lead administrator for PowerSchool, PowerSchool Enrollment, and related data systems, while also supporting ongoing family engagement and school-wide operational initiatives. This position requires a relationship-driven, detail-oriented professional who is equally comfortable building connections in the community and managing the back-end systems that keep the school running accurately and compliantly.


Family Recruitment & Outreach


  • Develop and execute Rooted School's annual student recruitment plan to meet enrollment targets
  • Represent the school at community events, fairs, churches, neighborhood organizations, and feeder school visits to generate interest and awareness
  • Build and maintain relationships with community partners, elementary schools, and local organizations that can serve as recruitment pipelines
  • Plan and lead school tours, open houses, information sessions, and shadow visit experiences for prospective families
  • Create and distribute recruitment materials including flyers, digital content, and social media posts in coordination with school leadership
  • Respond promptly to all prospective family inquiries through phone, email, walk-in, and social media channels
  • Track recruitment pipeline data and provide regular updates to school leadership on inquiry and application volumes

Enrollment Management & PowerSchool Administration


  • Serve as the school's primary administrator for PowerSchool Enrollment — managing the application portal, lottery process, and waitlist from setup through close
  • Oversee all stages of the enrollment workflow in PowerSchool including application intake, status updates, document collection, and enrollment confirmation
  • Maintain accurate and complete student records in PowerSchool including demographic data, emergency contacts, enrollment dates, and document uploads
  • Coordinate with the School Operations & Office Coordinator to ensure newly enrolled students are accurately reflected in the SIS prior to the first day of school
  • Process required enrollment documentation including immunization records, birth certificates, previous academic records, custody agreements, and IEP/504 documentation
  • Generate enrollment reports, data audits, and compliance submissions from PowerSchool as required by the school leader, charter authorizer, or state
  • Train and support other staff on PowerSchool data entry standards and workflows to ensure data integrity across the school
  • Manage re-enrollment processes for returning students annually, including communication campaigns and deadline tracking

Family Engagement & Communication


  • Serve as a consistent, trusted point of contact for current Rooted School families throughout the school year
  • Plan and facilitate family engagement events including academic nights, community dinners, parent workshops, and volunteer opportunities
  • Develop and distribute regular family communications including newsletters, event calendars, and key school updates
  • Support new family onboarding and orientation to ensure smooth transitions into the Rooted School community
  • Collect and synthesize family feedback through surveys and informal channels to inform school programming and culture decisions
  • Support the development of a Family Advisory Council or similar family leadership structure

Operational Support & Data Systems


  • Support school-wide operational workflows that intersect with enrollment and student data, including state reporting submissions and compliance documentation
  • Assist with audit preparation by ensuring student files, enrollment records, and PowerSchool data are accurate and complete
  • Collaborate with the School Operations & Office Coordinator on day-to-day operational continuity across both roles
  • Assist with coordination of school-wide events that require family outreach or enrollment-related logistics
  • Support the school leader with special projects, grant reporting, or community partnership work as needed
  • Maintain confidentiality of all student, family, and staff data in accordance with FERPA and school policy


QUALIFICATIONS

Required:


  • Bachelor's degree in education, communications, social work, business, or a related field (Preferred)
  • Minimum 2–3 years of experience in student recruitment, enrollment management, family engagement, or school operations
  • Demonstrated experience with PowerSchool or a similar student information system; PowerSchool Enrollment experience strongly preferred
  • Strong data management skills with a commitment to accuracy and data integrity
  • Excellent relationship-building skills with diverse families and community members
  • Strong written and verbal communication skills across digital, print, and in-person channels
  • Highly organized, self-directed, and able to shift priorities based on the season of the school year

Preferred:


  • Experience in a charter school or urban public school environment
  • Bilingual or multilingual skills (Spanish strongly preferred)
  • Experience with enrollment CRM platforms, school marketing, or community outreach campaigns
  • Familiarity with charter compliance and state enrollment reporting requirements
