Operations Coordinator

School of Imagination & Happy Talkers | Dublin, CA
Status: Full-time, onsite | Non-exempt (hourly)

About the Role

The Operations Coordinator is the welcoming face and operational hub of our building. This person is the first point of contact for families, team members, visitors, and vendors, and keeps the day-to-day running smoothly — from the front desk to facilities to supplies. It's a warm, organized, people-first role at the center of a mission-driven early childhood and clinical setting.

Key Responsibilities
  • Front Desk & Reception — Greet and welcome families, visitors, and vendors warmly; answer and route incoming calls and inquiries; set the tone for everyone who walks in.
  • Routing & Coordination — Direct questions and requests to the right place (scheduling, HR, clinical, or billing) so families and team members get answers quickly.
  • Facilities — Coordinate building upkeep, safety and emergency readiness, vendor visits, and daily open/close; flag maintenance needs promptly.
  • Supplies & Stocking — Track inventory and reorder classroom and office supplies within approved limits; keep common areas stocked and organized.
  • Absence Line & Daily Coverage — Manage the team-member absence intake (Connecteam and the sub/late/out lanes) and notify the appropriate leads so coverage stays on track.
  • HR & Onboarding Support — Support new-hire logistics — paperwork routing, badge/access, workspace setup — in coordination with the Director of Operations and HR consultant.
  • General Operations Support — Follow and help maintain standard operating procedures; support the Director of Operations on projects as needed.
What We're Looking For
  • 2+ years in front desk, office coordination, or administrative support (early childhood, clinical, or nonprofit setting a plus)
  • Warm, professional communication and a genuine service orientation
  • Highly organized; calm and capable juggling many small things at once
  • Comfortable with everyday technology (Google Workspace; Connecteam and CentralReach a plus)
  • Bilingual English/Spanish a plus, given the families we serve
  • Dependable, discreet, and comfortable in a busy, child-centered environment
Requirements

As a childcare setting, this role requires clearances and health screenings consistent with California licensing (Live Scan fingerprinting/background check, TB clearance, and required immunizations), and mandated-reporter acknowledgment. Ability to be onsite daily and to lift and move supplies as needed.
