Position Overview: The Office Secretary serves as a key member of the school's front office and is responsible for supporting daily school operations with a strong focus on attendance, family communication, student records, and customer service. This position requires strong organizational skills, attention to detail, professionalism, and the ability to communicate effectively with students, families, staff, and community members.
The Office Secretary helps ensure the smooth operation of the school office by maintaining accurate attendance records, supporting schoolwide communications, assisting families and visitors, and completing operational and clerical responsibilities that contribute to a positive and efficient school environment.
Preferred Qualifications:
  • High School diploma required. Associate's degree preferred.
  • Previous office, clerical, or administrative experience preferred, ideally in a school setting
  • Strong interpersonal and customer service skills with the ability to interact positively with students, families, staff, and community members.
  • Proficiency in Microsoft Office and Google workspace.
  • Experience with Infinite Campus or similar student information systems preferred.
  • Strong Organizational skills and attention to detail.
  • Ability to maintain confidentiality and professionalism in all matters related to students and staff.

Responsibilities:
Attendance & Student Records
  • Maintain accurate daily student attendance records and ensure proper documentation for absences, tardies, and early dismissals.
  • Communicate with families regarding attendance concerns and support school attendance procedures.
  • Process attendance-related reports and assist administration with attendance monitoring and follow-up.
  • Maintain accurate student records and update family contact information within Infinite Campus and other school systems.

Communications & Family Support
  • Serve as a welcoming point of contact for students, families, staff, and visitors.
  • Answer and direct phone calls, emails, and general office inquiries in a professional and timely manner.
  • Support schoolwide communication efforts, including attendance notifications, reminders, newsletters, and general family correspondence.
  • Assist families with questions related to school procedures, events, transportation, and student information.

Office Operations & Administrative Support
  • Provide clerical and administrative support to school administration and staff as needed.
  • Assist with student sign-in/sign-out procedures and visitor management processes.
  • Support the preparation and organization of school materials, mailings, reports, and events.
  • Maintain office supplies, records, and filing systems.
  • Support front desk and reception responsibilities to ensure a positive and professional office environment.
  • Perform other duties as assigned by the Head of School or school administration.
