The Scheduling Coordinator will be responsible for efficiently scheduling caregivers to ensure timely and effective delivery of home care services to our clients. This role requires strong communication skills, the ability to manage scheduling software, and a proactive approach to resolving scheduling conflicts while maintaining high standards of client care.

REPORTING

The Scheduling Coordination reports to the Director of Coordination.


ESSENTIAL JOB DUTIES

  • Coordinate and assign caregivers to client visits and shifts based on client needs and caregiver availability.
  • Maintain and update caregiver schedules in the scheduling software/system.
  • Handle scheduling requests, changes, and emergencies promptly and effectively.
  • Serve as the primary point of contact for caregivers regarding scheduling inquiries and updates.
  • Communicate schedule changes and updates to caregivers and clients in a clear and timely manner.
  • Collaborate with the care coordination team to ensure alignment between client care plans and caregiver schedules.
  • Monitor caregiver compliance with client care plans and agency policies through schedule adherence.
  • Address and resolve scheduling conflicts and issues in collaboration with the senior scheduling coordinator or management.
  • Ensure accurate and up-to-date documentation of caregiver assignments and client schedules.
  • Provide support to caregivers regarding scheduling-related inquiries and issues.
  • Assist clients and their families with scheduling concerns and inquiries as needed.
  • Foster positive relationships with caregivers and clients through effective communication and support.
  • Generate reports on scheduling metrics such as caregiver utilization, overtime, and client visit completion.
  • Maintain accurate records of caregiver schedules, client preferences, and service agreements.
  • Assist with documentation for audits, inspections, and regulatory compliance.
Requirements:


Successful candidates should demonstrate experience in staffing caregivers within a home care environment and possess a strong understanding of scheduling best practices, caregiver-client matching, and workforce coordination. They must be comfortable managing high-volume schedules, addressing last-minute coverage needs, and working in a fast-paced operational environment.


Candidates should be able to effectively communicate with caregivers, clients, and internal stakeholders while balancing multiple priorities simultaneously. Strong organizational skills, attention to detail, and the ability to make staffing decisions under tight deadlines are essential. Experience with home care operations, caregiver scheduling platforms, and maintaining continuity of care through effective staffing practices is highly preferred.

  • Experience scheduling and staffing caregivers/CNAs/HHAs for client assignments.
  • Familiarity with caregiver availability management, shift coverage, and client service coordination.
  • Experience working with scheduling software and workforce management systems.
